As the Administration and Executive Support Officer, you will provide high-level administrative and executive support across the agency, including to senior executives and inspection units. This role is ideal for someone with strong organisational, communication, and interpersonal skills who thrives in a dynamic and confidential environment.
Your new role
- Provide secretarial and administrative support, including managing correspondence, emails, phone calls, and reception duties.
- Coordinate executive schedules, meetings, travel, and events (domestic and international).
- Support recruitment activities and assist with financial processing (e.g., purchasing, travel claims, reconciliations).
- Maintain administrative systems, records, databases, and workflows.
- Liaise with internal teams and external stakeholders to support inspections, projects, and reporting.
- Assist with preparing materials for inspections and arranging logistics.
- Contribute to the continuous improvement of administrative practices and uphold high professional standards.
What you'll need to succeed
- Proven ability to manage correspondence, emails, phone calls, and reception duties with professionalism.
- Experience coordinating executive schedules, meetings, travel, and events (both domestic and international).
- Familiarity with recruitment processes and financial administration (e.g., purchasing, travel claims, reconciliations).
- Strong skills in maintaining administrative systems, records, databases, and workflows.
- Excellent interpersonal and communication skills for liaising with internal teams and external stakeholders.
- Capability to prepare materials and coordinate logistics for inspections and operational activities.
- Commitment to continuous improvement and maintaining high professional standards.
- Proficiency in Microsoft Office and other corporate systems.
- Ability to work independently and collaboratively in a confidential and dynamic environment.
- High attention to detail and strong organisational skills.
