We're seeking a highly capable & committed 2IC / Operations Coordinator to support the daily running of our fast-paced vibrant clinic. This is more than a management role, it's about being proactive, present and passionate about operations, service and team leadership. Your Role:
As our 2IC / Operations Coordinator, you’ll work closely with senior leadership to ensure smooth, seamless daily operations of our 1500sqm, 30+ staff clinic. You’ll help lead the front-of-house team while maintaining a strong hands-on presence. This is a hybrid role combining reception, coordination, leadership and troubleshooting. Ideal for someone who thrives on multitasking and creating solutions in real-time. Key Responsibilities
Client Experience & Scheduling
Deliver warm welcomes and seamless experiences. Proactively manage bookings to ensure the day flows efficiently and with minimal disruption.
Communication & Admin
Manage client comms across phone, email and social platforms. Ensure accurate records, timely follow-ups and clear information sharing. Oversee opening/closing duties and payroll accuracy (including ensuring timesheets are correctly submitted).
Team & Clinic Presentation
Maintain immaculate presentation across the clinic and guide team grooming standards to reflect the professionalism of the brand.
Retail & Inventory
Manage stock ordering, incoming deliveries and monthly stocktakes to ensure both retail and professional inventory levels are accurate and well-maintained. Monitor usage trends and stay within budget, while also actively identifying potential new suppliers or products that offer better value without compromising on quality.
Operations Flow & Troubleshooting
Be the first point of contact when something needs fixing, whether it’s a late client, a software glitch or a leaky tap. Liaise with tradespeople and tackle issues head-on with a solutions-focused, can-do mindset.
Leadership & Culture
Lead by example: support the team while keeping energy & morale high. Run daily team huddles to share key updates in a clear, upbeat and engaging way. Delegate effectively while staying hands-on. Set, monitor and celebrate team goals and foster a growth-oriented, collaborative culture.
Conflict & Complaint Resolution
Address issues with empathy, professionalism and efficiency. Be calm under pressure and solutions-focused, always protecting the client experience and the business reputation.
Business Support
Work closely with upper management to meet budgets and track KPIs. Ensure accurate information flows smoothly across departments. Run daily team huddles to communicate key business updates in an engaging, motivating way. Be a key conduit between leadership and the team.

Key Attributes:
Strong admin or coordination experience (beauty/health/wellness preferred)
Loves the beauty industry and takes pride in knowing our services and products inside out—able to guide clients to the right solutions and be a go-to support for therapists.
A proactive and self-motivated mindset with a strong initiative
Excellent communication, delegation, leadership & interpersonal skills
Impressive organisational skills and the ability to juggle competing demands (this is essential)
Able to work autonomously and effectively self-manage multiple priorities
Tech-savvy: experience with Shortcuts booking system is a bonus
Naturally warm, bubbly, and confident with all personality types—clients adore our front-of-house, and we’re looking for someone who brings energy and connection to every interaction, while still maintaining professional boundaries.
