About The role

As a Primary Care Support Officer at WA Primary Health Alliance, you'll play a key role in supporting the smooth operation of the Primary Care portfolio by providing high-level administrative and operational support to Senior Managers and their teams. You'll coordinate meetings, manage diaries, prepare agendas and minutes, and track key actions to ensure timely follow-up. You'll also have a key role in driving reporting and documentation processes and maintaining internal systems and updates on behalf of the portfolio. This role is ideal for someone who thrives in a fast-paced environment, has excellent organisational and communication skills and enjoys working collaboratively to support better health outcomes across Western Australia.

🔹Employment Type: Full-time Maximum term contract until 30th January 2026

🔹 Location: WAPHA Head Office, Level 2, 1 Hood Street, Subiaco (Hybrid role)

🔹 Salary: Band 4 ($87k Plus 11.5% Superannuation)

Key tasks and responsibilities:

  • Provide high-level administrative support to Senior Managers, including diary management, meeting coordination, and preparation of agendas and minutes
  • Attend meetings to capture key actions, distribute notes, and track follow-ups
  • Support the preparation and coordination of reports, presentations, and documentation for internal and external stakeholders
  • Reconcile and process expenses, purchase orders, and other administrative tasks using initiative and discretion
  • Maintain and update internal systems such as CRM and SharePoint, including data entry and content refresh
  • Monitor and update intranet pages for the Primary Care team as directed
  • Engage with stakeholders at all levels to clarify objectives, requirements, and deliverables
  • Assist in tracking activity delivery and stakeholder engagement using WAPHA's corporate tools
  • Prioritise and manage multiple tasks to ensure efficient and effective support across the Primary Care portfolio

To be considered for this role, candidates must meet the following selection criteria:

Essential experience and education

  • Demonstrated experience in a similar administrative or support role
  • Proven ability to generate accurate agendas, minutes, and committee-related documentation
  • Strong organisational skills with the ability to manage competing priorities in a busy environment
  • High level of interpersonal and communication skills, particularly when working with senior stakeholders
  • Ability to work independently, exercise initiative, and maintain confidentiality
  • Proficiency in using information management and communication technologies, including Microsoft Office applications (Word, Excel, Outlook, etc.)
  • Experience using CRM systems and intranet platforms is desirable
  • Knowledge of or experience in the health industry is an advantage
