The Role

We’re looking for a Project Coordinator who enjoys working on diverse and challenging projects in a dynamic, supportive environment.
Working closely with the project management team, this role is responsible for providing support across the full project lifecycle. You will play a pivotal role in supporting project delivery, with particular focus on commercial and residential contracts, procurement, financial reporting, and relationship management.

Responsibilities

  • Assist in project planning, scheduling, budgeting, and procurement coordination.
  • Support procurement, invoicing, and financial tracking related to project budgets.
  • Review and interpret architectural and engineering drawings, specifications, and contracts.
  • Assist with the management of variations, payment schedules, progress claims, notices, extensions of time, and latent conditions.
  • Assist the Project Manager with contract negotiations and ensure subcontractor obligations are met.
  • Build and maintain effective communication with subcontractors, suppliers, consultants, and internal stakeholders.
  • Coordinate timely review and approval of subcontractor payment claims.
  • Support the preparation and submission of technical submittals, RFIs, shop drawings, and change orders.
  • Monitor construction activities to ensure compliance with design, specifications, and building codes.
  • Coordinate subcontractors, suppliers, consultants, and internal teams to align with project goals and schedules.
  • Track project progress, report on key milestones, and update project documentation.
  • Identify and resolve technical issues or conflicts in collaboration with the site team and consultants.
  • Conduct site inspections and quality assurance checks to ensure workmanship meets required standards.
  • Assist with project closeout, including handover documentation, as-built drawings, and defect resolution.
  • Support risk and issue management by maintaining registers and ensuring timely escalation of concerns.
  • Maintain project documentation including contracts, change orders, reports, and communications.

Salary

$120,000 – $140,000 + Superannuation commensurate with level of experience.

Requirements

You’ll need:

  • Some experience in project or contract administration within commercial construction;
  • Industry experience across construction, design or related disciplines;
  • Relevant tertiary qualification in Construction Management, Quantity Surveying, Finance, Engineering, or similar;
  • Working knowledge of construction methodologies, contracts, and cost management;
  • A high level of organisation, with excellent attention to detail and analytical thinking;
  • Outstanding written and verbal communication skills;
  • The ability to build lasting relationships and collaborate effectively with all project stakeholders;
  • Experience with Procore or equivalent project management systems highly regarded.
