We are looking for a dedicated Allied Health Intake Coordinator to join our Brisbane office and support the smooth operation of our clinics and telehealth services while ensuring our clients and their families receive the highest level of care and customer service.
Key Responsibilities
Respond promptly and professionally to incoming enquiries (phone, email, web) and schedule initial appointments based on client needs and practitioner availability.
Guide clients through the intake process with empathy, confidentiality, and attention to detail.
Manage and maintain accurate client data in a timely manner using our Customer Relationship Management (CRM) system.
Track and monitor clients' progress from initial enquiry through to commencement of services, ensuring a seamless experience.
Build and maintain strong relationships with key referrers and external stakeholders to streamline and enhance the referral process.
Liaise with internal clinicians and administrative staff to ensure client information is shared effectively and in accordance with privacy policies.
Contribute to the continuous improvement of intake processes and administrative workflows.
Assist with reporting and auditing requirements related to referrals, service access, and client engagement metrics.
Drive marketing and brand establishment opportunities alongside the Clinical Managers and Allied Health Director.
Skills and Experience
Previous experience in an administrative or intake role within an allied health, medical, or community services environment.
Excellent interpersonal and communication skills with a client-centred approach.
Strong attention to detail and a high level of accuracy in data entry and documentation.
Proficiency with CRM systems and other practice management software (e.g. Halaxy, Zanda, Caalano Systems or similar).
Ability to multitask and manage competing priorities in a fast-paced environment.
Understanding of privacy, confidentiality, and ethical standards in healthcare settings.
Ability to work both independently and collaboratively within a team.
What we offer
Full-time: Monday to Friday 9am-5pm
Salary: $65,000 - $70,000 + Super

Who We Are Looking For
We are seeking an enthusiastic individual with:
Proven experience in a customer-facing role, ideally within a healthcare or clinic setting
Compassion and empathy when working with children, adolescents, and their families
Strong organisational skills and the ability to meet deadlines in a fast-paced environment
Advanced proficiency in Microsoft Office (Word, Excel, Outlook) and familiarity with Google systems
Excellent communication skills, both verbal and written
Ability to work on-site full-time due to the hands-on nature of the role.
A strong sales and intake background will be looked upon favourably.
