JOB DESCRIPTION

Position Title: Children’s Program Assistant - immediate start

Reports to: Program Director

Hours of Work: Part-Time, Wednesday to Friday, 9 am to 5 pm

Location: 7 English Street, Essendon Fields VIC 3041 (no WFH option available)

Remuneration: Comparable rate based on experience ($65-$70k pro-rata p/a inc Super)

POSITION SUMMARY & PRIMARY OBJECTIVES

TLC for Kids is a nationally trusted children’s charity delivering rapid, practical, and emotional support to sick children and their families. Our programs are designed to fill gaps in care identified by hospital staff and families, and our services include immediate distractions for kids undergoing medical treatment, urgent support within 48 hours, and memorable transport through our wheelchair-accessible TLC Ambulance.

Our Tap 2 Distract App is a free, digital resource that provides children with clinically designed games and calming tools to ease anxiety during medical procedures – now used across hospitals, clinics and homes throughout Australia and abroad.

As a vital member of our small but high-impact team, the Children’s Program Assistant will help deliver our four national services:

Distraction Box Program

Rapid TLC Program

TLC Ambulance

Tap 2 Distract App

This role combines program coordination, stakeholder engagement, logistics, and direct impact delivery to sick children and healthcare professionals. You will report to the Program Director and CEO and work closely with our passionate team to ensure the seamless and timely fulfilment of all services.

KEY RESPONSIBILITIES

Support Services Operations (All Programs):

Assist in fulfilment and delivery across all services

Record stories and outcomes for impact reporting

Maintain accurate databases and inventory records

Distraction Box Program:

Manage enquiries, fulfil orders, track stock levels

Liaise with hospital staff and sponsors

Coordinate deliveries and logistics

Rapid TLC Program:

Process urgent support requests (shopping, packing, delivering)

Liaise with families, referrers, and suppliers

Update payment logs and documentation

TLC Ambulance Program:

Coordinate trip logistics (food, parking, venue bookings)

Drive support vehicle and/or wheelchair access vehicle

Liaise with families and medical staff

Capture content (photos/footage) for reporting and storytelling

Tap 2 Distract App:

Support promotion and onboarding of new users (families and hospitals)

Maintain app-related contact records and assist in outreach campaigns

Track user feedback and support clinical storytelling

REQUIRED SKILLS & EXPERIENCE

Essential:

Strong administration and organisational skills

Excellent written and verbal communication

High digital literacy (confident with cloud platforms and tech tools)

Reliable, proactive, and professional

Valid Full Driver’s Licence

Willingness to drive a wheelchair-accessible vehicle

Ability to multitask and thrive in a mission-led environment

Desirable:

Experience in a not-for-profit setting

Familiarity with Monday.com, Slack, G-Suite

Confident communicator, particularly on the phone

Understanding of healthcare environments and/or family-facing programs

WORKING CONDITIONS & OTHER REQUIREMENTS

Role is based on-site with no work-from-home option

Some interstate travel is required

Occasional weekend work may be requested for events or trips

Working With Children Check and Police Check required
