About the Role
Miyay Birray Youth Service is seeking an experienced Executive administration assistant to provide administrative and reception services to the Moree Bail Accommodation Program to support the delivery of quality services. As an integral part of a team the role is responsible for managing administrative systems and procedures to deliver a high level of administrative and coordination support.
Key Accountabilities
Demonstrated experience and proficiency in providing high level executive assistance and support to a senior executive including a proven capacity to operate effectively in a complex environment demanding confidentiality, flexibility and discernment.
High level organisational and time management skills with an ability to effectively set priorities, meet deadlines, demonstrate flexibility and show initiative.
Proven ability as an excellent communicator, able to communicate at all levels across the organisations to convey business policies and procedures, using both verbal & written communications methods across a variety of media to all internal/external teams, internal/external stakeholders, vendors, suppliers and all other parties.
Proven high level of organisational skills including the ability to problem solve, prioritise workload and meet deadlines supported by a demonstrated capacity to exercise initiative and judgement, including the demonstrated ability to prioritise multiple tasks.
Advanced proficiency in preparing various documentation (memorandums, agendas, minutes, letters, internal briefings, reports, presentations etc) using Microsoft office suite of applications.
Experience using online record management systems and record keeping.
A proven working style that is team oriented and flexible with the ability to handle pressure.
Current driver's licence and willingness to travel for work purpose.
Key Challenges
Providing administration and reception services to a range of internal and external clients in a high-volume working environment and determining the appropriate response or area of referral.
Use sensitivity, discretion and a professional manner when handling difficult and complex enquiries and issues.
Working with minimal supervision and prioritising own workload and managing competing deadlines to a high level of accuracy.
Key knowledge and experience
Work with Aboriginal families and communities, candidates will need to demonstrate cultural capability, which includes lived experience, community connection, relationships with Aboriginal organisations, walking in two worlds, and historical context and impact.
Essential requirements
· Working With Children Check (WWCC) clearance for roles with director access to clients/client information.
· As an Identified role, this role is open only to Aboriginal and/or Torres Strait Islander persons, Australia’s First Nations people.
There are two alternatives to confirming your Aboriginality, one of which must be included in your application to be considered for the role as follows. Either will be accepted:

or
Written confirmation from 2-3 Aboriginal organisations within the community in which you live/work, which addresses the three criteria listed below:
