OPERATIONS MANAGER – FULL TIME
Location: Pimpama | Hybrid | Salary: $175,000 + Super
About the Role
Trackworks Design is seeking a highly organised and results-driven Operations Manager to oversee and optimise our daily field operations, project planning, client communication, and crew scheduling. You’ll manage a team of 2 administrators, 7 operators, and 8 core assets, helping align operational delivery with our evolving business model.
We specialise in dozer-based earthworks with a strong focus on private rural projects, while also delivering civil works, fire trail construction, and subdivision support across South East Queensland. Our team is backed by modern machinery, structured systems, and a culture of accountability—from quoting and safety compliance through to delivery and customer follow-up.
We’re entering an exciting growth phase, including the upcoming launch of a second business focused on mine rehabilitation and compliance-driven civil works. The ideal candidate will be systems-focused, structured, and confident, leading both people and projects—often remotely.
While this is primarily an office-based role, we value strong team culture and on-site engagement. Site visits are encouraged where helpful, though not required, as our structure supports full operational oversight without daily on-site presence.
KEY RESPONSIBILITIES
Daily Operations
· Schedule operators and assets using our in-house planning tool
· Assign leading hands for quoting, site reviews, and operator mentoring
· Manage daily crew communications and performance via WhatsApp
· Prepare quotes for small to medium projects using Tradify
· Quote large or complex jobs directly, as needed
· Review vegetation overlays and assess risk before quoting
· Manage material orders, supplier accounts, and product forecasting
· Review and approve timesheets; reconcile hours against invoicing
· Monitor weather forecasts to minimise operational disruptions
· Ensure SWMS compliance and review photo-based safety updates
· Coordinate float logistics and equipment movement
· Communicate with clients prior to scheduled site work
· Oversee end-to-end customer journey execution
Weekly & Monthly Oversight
Finalise weekly job and crew allocations by Friday midday
Lead toolbox meetings and submit compliance documentation
Review job costings, machine hours, and scope changes
Approve payroll and subcontractor timesheets
Schedule and monitor servicing and maintenance of assets
Report on project progress, risks, and financial alignment
Ensure invoicing reflects updated scopes and work completed
Quarterly & Strategic Tasks
Conduct equipment audits and make replacement recommendations
Lead formal staff performance reviews
Maintain and update operational risk register
Propose process improvements to boost efficiency
Contribute to pricing and quoting strategy reviews
Support the development of scalable systems for business growth
Key Performance Indicators (KPIs)
100% crew attendance and accurate timesheet submissions
Full SWMS and safety documentation compliance
Maintenance tasks scheduled within 10 hours of due time
Job cost variances under 10% unless pre-approved
Prompt quoting and logged client follow-ups
Submission of weekly project and monthly financial summaries
All client queries addressed by 9:00 AM daily
Quarterly performance reviews completed for staff and subcontractors
ABOUT YOU
Experience & Background
5+ years in operations management, site supervision, or crew coordination
Experience in civil, earthworks, mining, rural, forestry, or agricultural industries
Strong background in quoting, scheduling, and workforce management
Proficient understanding of job costing and margin control
Skilled in implementing SWMS and meeting safety standards
Familiar with Tradify or similar job/project management software
