Job Summary:
We are seeking a highly organised and proactive Certification Facilitator to join our team at the forefront of the booming portable building industry. Based in Helidon Spa (near Toowoomba), this full-time role will involve managing and coordinating the building certification process, from pre-checks to final certification, while providing essential administrative support across multiple stages of the projects. This is a fantastic opportunity for an individual with an eye for detail, a passion for the building industry, and an interest in contributing to an innovative and fast-growing sector.
As a Certification Facilitator, you will be responsible for ensuring all building certifications, approvals, and documents are completed accurately and efficiently. In addition to certification responsibilities, you will also support the team with administrative tasks and help manage the growing demand in the portable building market.
Key Responsibilities:
Pre-Check Phase:
- Submit pre-check application forms, floor plans, and site plans to the certifier for review.
- Explain certification requirements and council approval procedures to clients and the internal team (Elite).
- Liaise with the certifier, client, and internal stakeholders to resolve pre-certification issues efficiently and ensure smooth progress.
Post Pre-Check Phase:
- Organise quotes for required reports, including Bushfire Attack Level (BAL), flood, and site surveys.
- Coordinate and obtain quotes for additional council applications (e.g., Town Planning, MCU, A&A) and begin the process with the certifier.
- Submit revised documents (floor plans, site plans, etc.) to the certifier as required.
- Need to add 'commission and finalise energy efficiency reports for each building ensuing they adhere to 7 star energy efficiency legislation'
Building Approval:
- Submit building approval applications and required documents (e.g., energy efficiency forms, elevations, landowner consent forms).
- Assist clients with obtaining on-site plumbing council approvals, forwarding completed documents to the certifier.
- Communicate the approved building certification documents to the client and address any questions or concerns.
Certification Finalisation:
- Liaise with clients to resolve any outstanding issues identified by the certifier after the final site inspection.
- Gather and submit all required certification certificates to both the client and certifier.
Auxiliary Tasks:
- Request regular updates from certifiers regarding project status and timelines.
- Maintain and update the certification status spreadsheet daily to track project milestones.
- Provide ongoing support to clients, ensuring their questions are answered and their needs are met throughout the certification process.
- Research and stay up-to-date with local council regulations, building codes, and other relevant industry guidelines.
Administrative Support:
- Provide administrative support to the team as needed.
- Assist with client enquiries, helping with coordination and communication.
- Organise and maintain digital and physical filing systems to ensure all documentation is accessible and up to date.
- Support the growth of the portable building business through general office tasks and contributing to operational improvements.
Key Skills & Qualifications:
- Experience: Previous experience in building certification, construction project management, or a related field is highly desirable.
- Knowledge: Strong understanding of local council rules, building codes, and certification processes.
- Communication: Excellent verbal and written communication skills to liaise with clients, certifiers, and internal teams.
- Organisation: Strong organisational skills with the ability to manage multiple projects simultaneously and meet deadlines.
- Attention to Detail: Ability to review and interpret complex documentation, including floor plans, site plans, and council regulations.

- Location: This role is based in Helidon Spa, Queensland, near Toowoomba.
- Work Type: Full-time.
