Full-Time Office Administrator – Bookkeeping Focus (Immediate Start)
Location: Carole Park, Ipswich
We are an Australian furniture manufacturer looking for a motivated, reliable, and detail-oriented individual to join our small office team in a full-time, permanent capacity. This role plays a key part in the smooth running of our business operations and focuses heavily on bookkeeping and financial administration, alongside general office and service support tasks.
You’ll be working closely with our customer service officer (who handles phone and order entry duties) and will take ownership of a wide range of administrative functions—especially those related to accounts, finance, and retailer service.
Key Responsibilities
Bookkeeping & Financial Administration (Primary Focus):
Enter and manage supplier invoices in our accounting system
Reconcile supplier statements and manage payment cycles
Track deliveries and ensure invoices align with goods received
Raise and issue customer invoices
Prepare weekly account reconciliations
Assist with payroll processing and superannuation
Service & Warranty Support:
Handle warranty claims and service requests from furniture retailers
Liaise with factory, delivery teams, and suppliers to coordinate repairs/replacements
Maintain service records and follow up on outstanding cases
Office & General Admin:
Monitor and respond to office emails professionally
Data entry, scanning, filing, and document management
Maintain office consumables and inventory (e.g., stationery, supplies)
Support other staff and contribute to a tidy and organised office environment
Essential Criteria
Minimum 2 years’ experience in an administrative or accounts-based role
Strong understanding of bookkeeping tasks and processes
Proficient in Microsoft Office (Excel, Outlook, Word)
High attention to detail and accuracy
Excellent communication skills, both written and verbal
Well-organised, self-motivated, and able to work independently
Friendly and professional manner, willing to support a small close-knit team
Desirable Criteria
Certificate III or higher in Bookkeeping, Accounting, or Business Administration
Experience using Xero (or similar accounting software)
Familiarity with furniture manufacturing or retail industry
Experience handling service claims or customer warranties
