Events and Administration Coordinator (Part-Time)

Join the Nursery & Garden Industry NSW & ACT Ltd (NGINA) - we are a dynamic, member-focused industry association — as our new Events and Administration Coordinator!
Based in our Kenthurst office, this part-time role (approx. 26 hours/week) is perfect for a highly organised, proactive events professional who’s ready to make an impact across a diverse range of events and admin activities.
About Us
NGINA supports a thriving horticultural industry across NSW and ACT, working with garden centres, wholesalers, growers, suppliers, government bodies, and other partners. We’re committed to delivering high-quality support, resources, and events that help our members build stronger businesses.
About the Role
This varied role has two main areas of focus:
1. Events Management
Lead all aspects of our monthly Trade Day (a wholesale plant market held at the Hawkesbury Showground).
Coordinate networking and local events — liaising with stakeholders, venues, suppliers, and managing logistics.
Collaborate with our Communications Manager to promote events and prepare post-event reports.
Organise our Annual Industry Awards Dinner — from venue booking to coordinating suppliers, managing RSVPs, communications, and run sheets.
Work with our bookkeeper to ensure timely invoicing for all event attendees.
2. Administration Support
Respond to member enquiries and provide excellent customer service.
Manage logistics for meetings and staff travel (including boardroom setup and catering).
Coordinate the Annual Industry Awards program — nominations, judging, mystery shopping, trophies, and certificates.
Oversee office management: ordering supplies, handling mail, sending out member welcome packs.
Support with staff onboarding and assist the CEO as needed.
About You
We're looking for someone who brings:
Experience in corporate or professional events coordination
Excellent time management and organisational skills
Strong IT proficiency, including Microsoft Office and CRM systems
Superb interpersonal, written, and verbal communication skills
High attention to detail and a solutions-focused mindset
A proactive, positive attitude and team spirit
Flexibility with working hours (occasional early starts or after-hours events)
