Position Overview
The Facilities Manager will be responsible for the day-to-day operation, maintenance, and administration of the Nautilus Apartments complex (SP61419). This position ensures all common property areas and assets are managed to the highest standard, remain compliant with safety and statutory requirements, and meet the needs of residents, tenants, and guests.
Key Responsibilities
1. Administrative and Operational Management
· Liaise with OC and Strata Manager regarding common property issues.
· Attend general and annual meetings (virtually or in person).
· Manage correspondence, quotations, purchase orders, approvals, and insurance documentation.
· Maintain digital records and report monthly on the condition of the property.
2. Contractor and Supplier Coordination
· Source and coordinate qualified trades and consultants.
· Maintain contractor compliance (insurances, licences, WHS adherence).
· Develop and maintain a preferred supplier register.
3. Compliance and Record-Keeping
· Ensure all building documentation, service records, and compliance logs are maintained.
· Track complaints, incidents, and security concerns.
· Keep asset and equipment registers up to date.
4. Maintenance and Servicing
· Implement statutory, preventative, and reactive maintenance schedules.
· Coordinate servicing of fire safety systems, pool equipment, backflow devices, trade waste, HVAC systems, and electrical systems.
· Maintain amenities and ensure all infrastructure remains in safe and operational condition.
5. Amenities and Grounds
· Oversee cleaning and upkeep of pools, BBQs, bathrooms, outdoor furniture, signage, and shade structures.
· Implement and supervise landscaping maintenance programs (weeding, mulching, fertilising, arborist services).
6. Capital Works
· Assist with planning and implementation of capital works and remedial repairs.
· Coordinate building consultants for infrastructure reporting.
· Propose improvements and infrastructure upgrades to OC.
7. Emergency and Security Response
· Respond to emergencies and after-hours callouts.
· Manage access control and CCTV systems.
· Liaise with police or emergency services as needed.
8. WHS and Risk Management
· Conduct regular site safety inspections and rectify or report hazards.
· Ensure compliance with WHS legislation and all contractor documentation.
· Maintain incident and hazard registers and engage WHS consultants as required.
Key Selection Criteria
Essential
· Proven experience in facilities/building management or property maintenance.
· Strong understanding of compliance requirements including WHS, fire safety, and strata legislation.
· Experience managing trades and service contractors.
· Excellent administrative and reporting skills.
· Strong communication and interpersonal skills.
· Proficient with digital systems (email, cloud storage, maintenance schedules).
Desirable
· Relevant trade background or building services knowledge.
· Familiarity with Strata Title and Owners Corporation procedures.
· Current First Aid Certificate.
· Qualifications in Facilities Management, WHS, or Property Services.
Other Requirements
· Availability for after-hours callouts and emergencies.
· Current driver’s licence and own vehicle.
· Police Check and Working With Children Check (or willingness to obtain).
· Physically capable of performing inspections and manual tasks as required.
