The Role:
As a registered NDIS provider, Apex Health Professionals provides a range of community-based and clinic-based allied health services to people of all ages and abilities.
We are looking for an Admin Assitant who will play a pivotal role in ensuring seamless administrative operations and managing duties professionally and efficiently. Working closely with the Managing Director, they will oversee invoicing for NDIS & HCP, claiming processes, appointment booking and provide essential support to therapists and clients. This is a casual position with the potential to grow into a permanent role and beyond.
Key Responsibilities:
Day to day administrative tasks including;
- Scheduling and managing appointments using our practice management software
- Respond to phone and email inquiries promptly and professionally
- Assist with client intake, document processing, and waiting list management
- Contacting referrers, completing client intake, and waitlist management for the team members
- Maintain up-to-date client records, communication and administrative documentation
- Coordinate team calendars to ensure efficient scheduling, workflow and support our therapists with general administrative tasks
- Collaborate with the Senior Receptionist for seamless practice administration
- Review and update administrative policies and procedures related to the role as appropriate
- Identify and implement opportunities for quality assurance and improve client and staff experienceCollaborate closely with their Managing Director to maintain efficient administrative processes
- Handle confidential information with the utmost discretion and integrity
About You:
We are looking for someone who:
Is Experienced: With a minimum of 2 years' experience in administrative roles, preferably within the NDIS or healthcare sector. Receptionist experience is advantageous.
Is Organised: Capable of managing multiple tasks efficiently and meeting deadlines.
Is Detail-Oriented: Ensures accuracy in all administrative tasks and documentation. Strong computer skills.
Is a Team Player: Collaborates effectively with colleagues and demonstrates strong interpersonal skills.
Is Professional: Efficient, ready to learn, and has a strong attention to detail.
Is an excellent communicator: Exhibits excellent verbal and written communication skills. Enjoys interacting positively and communicating calmly with people from all walks of life.
Understands different funding models relevant to allied health preferred (e.g. NDIS, Home Care Package, Private Health insurance and Medicare rebate, DVA).
