About The Role:

Port Lincoln Aboriginal Health Service is seeking a dedicated and proactive Business Support Officer to join our team on a fixed-term basis until 7 August 2026. This full-time position offers a unique opportunity to contribute to various aspects of our organisation, including Work Health and Safety (WHS), Human Resources (HR) Administration, Executive Assistance, and General Administration.

Key Responsibilities:

Work Health and Safety (WHS):

  • Develop, implement, and monitor WHS policies and procedures.
  • Oversee the operation of PLAHS’ digital Risk Management system Logiqc.
  • Serve as the Secretary of the WHS Committee.
  • Manage the return-to-work process for employees following leave or workplace injuries.
  • Support WHS initiatives, including risk assessments, incident reporting, and training.

Human Resources (HR) Administration:

  • Assist in recruitment and onboarding processes.
  • Support the operation of PLAHS’ digital HR Management system Elmo.
  • Maintain employee records and HR databases.
  • Support performance management and employee development initiatives.
  • Assist with payroll processing and employee inquiries.
  • Provide administrative support for the EAP program and training programs.

Executive Assistance:

  • Provide administrative support to the CEO and management team.
  • Coordinate and take minutes for SMT, CMM, and Board meetings.
  • Organize internal and external events and meetings.
  • Handle confidential information with discretion.

General Administration:

  • Support the Business Services Manager with various tasks.
  • Contribute to the improvement of administrative processes and systems.
  • Report to the Board of Directors and funding bodies as required.

About You:

The ideal candidate will have a strong background in administrative support, with experience in WHS and HR administration. You should be highly organised, detail-oriented, and capable of handling confidential information with discretion. Excellent communication and interpersonal skills are essential, as is the ability to work collaboratively with various departments and stakeholders.

Essential Skills and Experience:

  • Return to Work Coordinator certificate (or willingness to obtain)
  • Health & Safety Representative Level 1 Training (or willingness to obtain)
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Precision in managing records, preparing documents, and ensuring compliance with policies and regulations.
  • Strong ability to manage time, prioritise tasks, and maintain an organised work environment.
  • Clear and effective verbal and written communication, with the ability to convey information to diverse audiences.
  • Ability to build and maintain positive relationships with colleagues, management and community members.
  • Proven experience in a similar role, preferably within a health service or community organisation
  • Experience working with Aboriginal people
  • Experience in managing return-to-work processes and supporting employees through this transition.
  • Understanding of Work Health and Safety legislation, policies and procedures.
  • Knowledge of and understanding of Cultural Safety principals and their implementation in the workplace.
  • Proficiency in HR processes, including recruitment, onboarding, performance management, and employee relations
  • Competence in managing calendars, scheduling meetings, organising events and minute taking.
  • High level of proficiency in Microsoft Office Suite, Elmo and Logiqc
  • Ability to manage projects from inception to completion, ensuring deadlines are met and objectives are achieved.
