We’re now looking for a highly organised and proactive Operations & Administration Coordinator to help keep the engine room of the business running smoothly. This role is ideal for someone who thrives in a dynamic environment, loves variety, and enjoys supporting multiple aspects of a business — from finance and logistics to export and event support.

Key Responsibilities

Accounts & Bookkeeping

Manage customer and supplier invoicing through Xero

Follow up on outstanding invoices and support debtor management

Assist with account reconciliation and monthly financial reporting (income, expenses, bottles moved)

Track actuals against budgets

Inventory & Production Support

Maintain accurate stock records in Vintrace

Coordinate dry goods ordering and assist with bottling logistics

Export & Compliance

Prepare and manage export documentation and compliance processes

File and maintain business documents, contracts, and records

Sales & Events Support

Provide administrative support to the Sales Manager

Assist the Cellar Door Manager with planning and coordinating events

What We’re Looking For

Prior experience in administration, bookkeeping, or operations (wine industry experience a bonus, but not essential)

Proficiency with Xero, Microsoft Office/Google Suite, and cloud-based systems

Experience with Vintrace or similar inventory software is highly regarded

Exceptional organisational skills with strong attention to detail

A proactive attitude — someone who takes ownership and gets things done

Strong communication skills and the ability to work well across teams
