Role purpose
The Administration Officer’s primary role is to support the relevant program manager and/or teams to ensure the day to day running of the organisation and provide administrative duties as required
Key Responsibilities and Duties
- Provide a comprehensive range of administrative and program support
- Provide telephone and face to face reception duties, meeting and document preparation and support, purchasing, filing and event support to ensure smooth day to day operations
- Calendar Management – meeting rooms and pooled resources
- Maintaining and ordering where necessary office and cleaning supplies
- Management of incoming and outgoing mail
- Build respectful and professional relationships with service users, agencies, partners, community, colleagues and clients
- Contribute to the development of tools and resources to support program teams to undertake audits and compliance assessments as part of core business activity.
- Contribute to the continuous improvement agenda across CQID. Implement and monitor continuous improvement functionality across the organisation
- Assist in the updating and review of policies and procedures as required
- Support the team in event planning for meetings, professional development, and other initiatives
- Participate and contribute to the organisation’s compliance obligations under the ISO 9001:2015 Quality Management System and Human Services Quality Standards (HSQS)
- At all times work within CQID’s Workplace Health and Safety Policies and Procedures
- Other duties as directed by the Executive Officer/Manager/Team Leader
Qualifications and experience
To be successful in this role you will need to demonstrate capability in the following areas:
Essential:
- Holds a current C Class Queensland Driver’s Licence
- Current Working with Children Check, “Blue Card”
- Holds or willing to obtain a First Aid and CPR Certificate
- Certificate in Business Administration or similar
Desirable
- An awareness and understanding of indigenous communities and cultures and the historical and contemporary issues relevant to the needs of Aboriginal and Torres Strait Islander clients, and proven capacity to communicate appropriately
Skills and attributes
Essential:
- Aboriginal and/or Torres Strait Islander heritage – [Note: Non – Indigenous applicants will only be considered if no suitable Indigenous candidates are attracted in the first rounds of applicants]
- Professional appearance and behaviour
- Ability to communicate effectively spoken and written
- Self-starter, motivated and able to self-manage work tasks
- Reliability and ability to work independently
Desirable
- Attention to detail and time management
- Excellent customer service
- Experience in the use of Microsoft Office software and desktop applications
