We are looking for an experienced Personal Assistant to provide crucial support to one of our top orthopaedic surgeons. Key Responsibilities:
Executive Support:
Provide dedicated one-on-one support to an Orthopaedic Surgeon, managing their complex schedule, arranging appointments, and preparing for meetings and presentations.
Serve as the primary point of contact between the surgeon, medical staff, patients, and external partners, ensuring seamless communication and workflow.
Multi-Site Coordination:
Effectively manage responsibilities across multiple locations, ensuring smooth coordination and communication between sites.
Adapt to the unique protocols of each location, ensuring efficient operations and consistent service delivery.
Clinic and Theatre List Management:
Schedule patient appointments and surgical bookings, ensuring the surgeon’s time is optimised and clinics run smoothly.
Collaborate with the healthcare team to ensure efficient operations of clinics and theatres.
Address cancellations or schedule changes promptly, minimising disruption to service delivery.
Patient and Operation Accounts Management:
Oversee patient billing and invoicing, ensuring accuracy and timeliness in processing.
Assist with insurance claims and liaise with insurance providers when required.
Maintain accurate financial records and patient accounts, adhering to all organisational and legal standards.
Patient Liaison:
Act as the first point of contact for patients, providing assistance, information, and support to ensure a high level of satisfaction.
Address patient inquiries and concerns in a professional and timely manner, maintaining confidentiality and sensitivity.
Document Preparation and Management:
Produce high-quality written communications, including patient correspondence, surgical notes, and medical reports.
Ensure all documentation is accurate, current, and compliant with legal and organisational standards.
Additional Support to Other Practices:
Provide administrative support to other practices within the organisation as needed.
Adjust to different team dynamics and work environments while maintaining professionalism.
Continuous Improvement:
Proactively identify areas to enhance operational processes and workflows within the practice.
Participate in team meetings and initiatives aimed at improving patient care and office efficiency.
