Full-time role 5 days per week
Use your exceptional customer service skills to support our clients, their families, and our clinical team
Due to rapid growth of the team and clients, a rare position opportunity has opened up for a full-time Customer Service Coordinator to join our team! Your role will be very client/customer driven as you will be the first point of contact for Lifespan Therapies.
Roles and responsibilities:
Respond promptly and professionally to customer inquiries via phone, email, and in person, addressing their questions, concerns, and providing solutions.
Handle customer concerns and resolve issues efficiently to ensure customer satisfaction and retention.
Keep accurate, high-quality records of customer interactions, medical history, funding/transactions, family records and queries in our CRM system.
Maintain records and compliance within our governing bodies such as NDIS and Medicare.
Manage and maintain 12 therapists’ clinical schedules, their client data and keeping the clinical team up to date with ongoing changes.
Ensure seamless communication and resolution of therapist, customer requests and management requests.
Provide administrative support to the Practice Manager, Director and therapists as requested.
Ensuring a presentable and inviting clinic space to all clients.
Be involved in team meetings and projects to support Lifespan’s holistic and collaborative nature. Including assisting in identifying and implementing improvements to enhance the overall customer experience.
Assist with promoting services and social media.
Provide support to Practice Manger for marketing and charity events.
Skills and requirements:
Minimum 2 years proven experience in a medical, dental or allied health customer service role
A positive attitude and a passion for providing outstanding customer service
Exceptional communication skills, both written and verbal, with a friendly and empathetic approach
Strong problem-solving abilities and the capacity to handle challenging customer interactions with tact and diplomacy
Proficiency in using CRM software and other relevant tools such as Microsoft programs and online programs
Excellent organisational skills with the ability to multitask and prioritise tasks effectively.
Detail-oriented and committed to maintaining accurate records
Ability to work independently and as part of a team in a fast-paced environment
As we work with highly vulnerable families, vaccination for Influenza, Whooping cough, RSV and COVID-19 is compulsory
Experience with NDIS is desirable but not essential
Flexibility to work occasional evenings no later than 6pm (no weekends!)
