Key Responsibilities:
- Ensure smooth delivery of reception and administrative services to consumers, visitors, and staff.
- Act as the primary contact for internal and external clients, coordinating with practitioners and consumers to achieve optimal outcomes.
- Support the onboarding of new consumers through coordinated administrative tasks.
- Liaise with consumers to coordinate services and manage enquiries or special requests.
- Contact providers to update them on availabilities and support ongoing provider relationships.
- Confirm upcoming service appointments with consumers.
- Manage roster changes due to absences, emergencies, or other events, ensuring timely communication with staff.
- Maintain accurate documentation using care management software.
- Escalate urgent matters to relevant personnel as needed.
- Conduct regular wellbeing check-ins with consumers.
- Promote People First Workforce’s services in a professional and proactive manner.
- Maintain a clean and presentable reception and community area.
- Collaborate with team members to provide support across departments.
- Perform general administrative duties, including updating management with key information.
- Ensure compliance with organisational policies, procedures, and relevant legislation.
- Log and report safety incidents and hazards.
- Maintain accurate databases and track critical deadlines.
- Provide occasional support to the Optical Dispenser Team.
- Assist with preparing and monitoring invoices.
About You:
- Previous experience in rostering, administration, or coordination roles (ideally in healthcare or community services).
- Strong communication and interpersonal skills.
- High level of accuracy, organisation, and time management.
- Ability to multitask and respond effectively to unexpected changes.
- Proficient in Microsoft Office and care management systems.
- A team player with a proactive and positive attitude.
