About the role
We are seeking an experienced and dedicated Administration Assistant to join our dynamic team at Project Plus Services' in Biggera Waters, Queensland. This part-time role will provide crucial administrative support to our growing organisation, contributing to the smooth running of our day-to-day operations.
Key Responsibilities:
Booking in Trades:
Coordinate and schedule tradespeople for jobs based on project timelines, client requirements, and availability.
Maintain and update job schedules to ensure smooth workflow.
Client Communication:
Answer inbound phone calls from clients, addressing inquiries and resolving any concerns in a friendly and professional manner.
Provide clients with timely and accurate updates regarding their jobs.
Email Management:
Respond promptly and professionally to client emails, ensuring all communication is clear and well-documented.
Follow up on client inquiries to confirm requirements and ensure satisfaction.
Scheduling and Coordination:
Maintain and update the team's scheduling system to ensure tradespeople are allocated efficiently and jobs are completed on time.
Communicate job details, addresses, and timelines to tradespeople to ensure consistency and readiness.
Record-Keeping and Documentation:
Ensure all bookings, schedules, and communication are accurately recorded in the company’s systems.
Maintain organised records for future reference and reporting.
General Administrative Support:
Assist with other administrative duties as required to support the smooth day-to-day running of the business.
Collaborate with other team members to meet operational goals.
What we're looking for
Proven experience as an Administrative Assistant or in a similar role, preferably within the Administration & Office Support in the construction industry
Excellent organisational and time management skills, with the ability to prioritise tasks and work under pressure
Strong communication and interpersonal skills, with the ability to interact effectively with both internal and external stakeholders
Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
A keen eye for detail and the ability to work accurately and efficiently
A proactive and adaptable approach to problem-solving
