In this key role, you will provide high-level administrative support to the Director of Health Services and lead the coordination of administrative functions across our Ipswich and Laidley Medical Centre.
Key Responsibilities:
· Manage the Director of Health Services’ calendar, correspondence, records, and daily administrative tasks.
· Coordinate internal and external meetings, events, and agendas, ensuring clear communication with senior stakeholders.
· Monitor deadlines and ensure timely follow-up of tasks and correspondence.
· Prepare and edit documents using departmental templates and maintain accurate records.
· Oversee and optimise appointment scheduling for GPs, Allied Health, and Specialists.
· Ensure clinic flow is efficient and responsive to operational needs.
· Coordinate room bookings and calendar usage for clinical teams to maximise productivity.
· Supervise and support office administration staff, promoting a positive and collaborative work environment.
· Monitor performance metrics including client attendance, non-attendance, PIP, and MyMedicare registration.
· Ensure teams adhere to internal policies and procedures.
About You:
· A minimum 5 years experience in this type of role, or a similar role.
· Strong background in health service administration or office coordination (ideally in a clinical setting).
· Demonstrated ability to manage competing priorities and maintain attention to detail.
· Excellent interpersonal and communication skills, with experience liaising with senior staff and external stakeholders.
· Proven supervisory experience in a team environment.
· High-level computer literacy, including Microsoft Office and clinical booking systems.
· A commitment to culturally safe service delivery and community wellbeing.
