Position: Executive Assistant to Director
As the Executive Assistant, you will play a pivotal role in ensuring the efficiency and smooth operation of the sales team. You will provide direct support to the lead agent, taking ownership of key administrative and coordination tasks, and acting as a professional point of contact between clients and internal stakeholders.
Key Responsibilities:
- Manage the lead agent’s calendar, schedule appointments, and coordinate travel arrangements.
- Coordinate all residential sales documentation, ensuring timely and accurate communication with solicitors, clients, and service providers.
- Provide in-person support during auctions (mid-week only), with a sound understanding of the auction process.
- Draft, edit, and proofread documents, reports, and presentations with a keen eye for detail.
- Serve as a liaison between vendors, buyers, solicitors, and the internal sales team, ensuring professional and effective communication.
- Prepare appraisal, pre-listing, and settlement kits.
- Create marketing collateral for new listings, including signboards, brochures, flyers, and digital advertising.
- Launch and manage 6–8 property listings per month, overseeing all related marketing and administration.

About You:
- A polished professional with excellent interpersonal and communication skills.
- Previous experience as a Sales PA or Executive Assistant within the real estate industry is essential.
- A great chance for a property manager wanting to make a change.
- Current NSW Certificate of Registration and a valid driver’s licence.
- Strong verbal and written communication skills, with a focus on customer service.
- Impeccable organisational and time management abilities.
- High attention to detail and a proactive, can-do attitude.
- Ability to multi-task and manage competing deadlines with confidence and composure.
