We’re looking for a superstar Office Manager to oversee the day-to-day office operations of our busy construction company while ensuring our clients receive exceptional service. This role is perfect for someone who loves creating a well-organized workplace and delivering outstanding client experiences.

What You'll Be Doing

General Office Management:

Oversee the day-to-day running of the office, ensuring a smooth and efficient work environment

Manage office supplies and vendor relationships

Coordinate office, ensuring a clean, safe and well-equipped workspace for everyone

Organize internal meetings, company events and team-building activities

Continually review, implement and improve office policies, procedures and workflows as required

Serve as the key point of contact for office-related inquiries and requests

Ensure all technology, equipment and software are functioning correctly and liaise with IT support when needed

Handle administrative tasks such as scheduling, correspondence and document management

Job Specific Duties to MI Global Construction:

Preparing & submitting documents to local Councils as required

Confidently run our Construction Management Software ensuring all information is live and up to date

Liaise professionally and confidently with clients from contract acceptance to practical completion

Scheduling staff and sub-contractor movements

Maintain accurate staff timeclock entries, amending as required

Managing calendars/meetings for Directors

Coordinate travel arrangements for staff as required

Procurement of materials as required, issue PO’s

Management of all logistics for materials

Monitor staff movements/performance and report to HR

Liaise with Accounts regarding the WIP and future scheduled works to ensure cashflow budget targets are met

Liaise and collaborate with Draftsperson and Estimator as required

Client Experience:

Act as the first point of contact for clients, ensuring they feel valued and welcomed

Manage client communications, responding promptly to inquiries via phone, email and face-to-face meetings

Coordinate client meetings, ensuring they are well-organized, well documented and run smoothly

Maintain a high level of client satisfaction by anticipating and addressing their needs proactively

Work closely with internal teams to ensure seamless service delivery and client success

Gather client feedback and implement improvements to enhance their experience

Develop and maintain strong relationships with clients to encourage loyalty and retention

Assist in preparing proposals, reports and other client-related documentation

Ensure the office environment reflects a professional and inviting atmosphere for clients

Identify opportunities to enhance the overall client experience and implement initiatives to improve their experience
