Position Title: Personal & Business Assistant
Reports To: Two Directors / Business Owners
Location: Hybrid – mix of remote and in-person
Employment Type: Part-Time (10–15 hours per week)

About the Role

We’re a small, family-run group of businesses with a variety of interests and investments. We're looking for a trustworthy, organised, and proactive Personal & Business Assistant to support two Directors with a mix of business and personal administration.

This flexible, part-time role (10–15 hours per week) is ideal for someone seeking school hours and the ability to work partly remotely. You’ll be the go-to person who helps keep everything running smoothly—whether it’s managing calendars, coordinating travel, liaising with contractors, or supporting light finance admin.

If you enjoy variety, take initiative, and can juggle multiple priorities with calm and care, you’ll thrive in this role.

Key Responsibilities

Support for Two Directors

Manage calendars, appointments, and reminders for both Directors

Monitor and help manage inboxes, schedules, and task lists

Draft and edit emails, documents, and meeting notes

Coordinate travel bookings and itineraries

Assist with occasional personal administration tasks

Administration & Systems

Maintain organised digital filing systems (e.g. Dropbox, Google Drive)

Oversee access and usage of tools such as Google Workspace, Calendly, and Zoom

Keep procedures, templates, and checklists up to date

Support onboarding of new contractors, consultants, or staff into systems

Liaison & Coordination

Communicate with bookkeepers, accountants, consultants, and contractors

Track and process small payments for invoices, subscriptions, and reimbursements

Maintain accurate records across the various businesses and investments

Help coordinate reports, deliverables, and communication between stakeholders

Tech & Workflow Support

Assist with basic tech troubleshooting or liaise with IT support as needed

Manage user access across software accounts and digital tools

Suggest improvements to systems, workflows, or digital organisation

What We’re Looking For

Proven experience in administration, executive support, or operations

Excellent organisational and time management skills

Confident working across multiple calendars, people, and priorities

Tech-savvy—comfortable with Google Workspace, Dropbox, Zoom, Xero (or similar)

Clear and friendly communication style

Trustworthy, proactive, and capable of working independently

Desirable (Nice to Have)

Experience with small or family-run businesses

Familiarity with accounting platforms like Xero

Experience coordinating projects, travel, or external contractors

Comfortable balancing both personal and professional support tasks
