We're looking for a compassionate and proactive Facilities Coordinator to join a purpose-driven team within the not-for-profit sector. This role involves end-to-end facilities coordination with a strong focus on responsiveness and prioritising the needs of those we support. Key Responsibilities

  • Oversee repairs and cyclical maintenance activities to ensure facilities meet the needs of the organisation and its clients;
  • Manage the timely completion of maintenance tasks, responding to issues promptly;
  • Liaise with external contractors and service providers, ensuring facilities upgrades and maintenance are completed efficiently;
  • Maintain strong relationships with vendors to guarantee high standards of service and compliance;
  • Prioritise and respond to maintenance requests, including urgent needs or room preparation for meetings and events;
  • Dispatch jobs and request photos to monitor progress while maintaining a focus on delivering quality service with empathy and professionalism;
  • Ensure that office facilities meet operational needs, supporting a safe and functional work environment for both staff and clients;
  • Act as the first point of contact for any facilities-related concerns from internal staff or external stakeholders, including clients and families, demonstrating empathy and professionalism at all times;
  • Responsible for general administrative support, including management of shared mailboxes, processing of invoices and quotes, and performing a range of other administrative duties as required;
  • Adapt to last-minute changes and manage multiple tasks effectively under pressure, ensuring high service levels and quick response times; and
  • Maintain a calm and professional demeanour in fast-paced situations, while staying focused on delivering client-centred outcomes.

Skills/ Experience

  • Experience in facilities coordination;
  • Strong communication skills with an ability to respond empathetically and professionally to clients and staff;
  • Ability to work well under pressure and manage unexpected changes in a fast-paced environment;
  • Demonstrated ability to manage maintenance and vendor-related tasks while maintaining professionalism and empathy; and
  • Experience with access management systems, car park coordination, and general office facilities maintenance.
