TC Landscapes is an established landscaping and construction organisation which has been in operation for 45 years. We are looking to attract an energetic and experienced administration person to join our dynamic team.
This energetic all-round office role will be supporting our close-knit organisation who are huge on team culture and creating a positive workplace vibe. Working out of our office based in Werribee, the hours of work will be suited to the applicant. Just as important as skills and experience are a enthusiastic and can do attitude, bubbly personality and proactive approach to your work. The responsibilities will include but are not limited to:
Welcoming clients, managing all inbound queries and general correspondence via phone, email and social media accounts
Perform general office duties, including filing, data entry, and correspondence
Liasing with our suppliers, customers and other stakeholders regarding the accounts and maintaining payment terms are up to date
You will also assist the Managing Director with PA duties, eg diary and travel arrangements

Responsibilities
Customer Service - an essential part of the role is greeting people with a warm, courteous and polite manner at all times whether it be in person or on phone
Perform admin functions like a Pro.
This includes filing, Database maintenance (price lists, job records, Supplier lists etc) document prep, reporting, meeting minute taking and actions etc.
Creating, implementing and maintaining operational processes, procedures and systems
Proficiency in various software not limited to but including MYOB and Microsoft office suite (Word, Excel, Powerpoint)
Assist with the organisation and coordination of meetings, social events and travel arrangements. Schedules to be kept sharp and the team in sync
Dealing with emails. Prioritising what the Managing Director needs to see/sorting emails in folders for archiving/responding to emails as required
Excellent time management and effective prioritisation, always considering the needs of the team and business
General: Keeping the kitchen and communal areas clean and tidy and stocked with coffee, milks and soft drinks.
Skills and Experience
The successful candidate will have great time management skills to ensure deadlines are met.
You must have ownership and accountability
You will be looking for an opportunity where you can grow with a business and be instrumental in their success
Must have excellent stakeholder management skills
Previous experience in a PA or Office Management position
Prior experience in the Construction industry is advantageous
Proficient in MS Office across Outlook, Excel, Word ad PowerPoint
Strong time management skills and excellent Customer Service
Great written and verbal communication skills
Experience dealing with trades, work orders and quotes
Previous scheduling or appointment management experience
Experience preferably with MYOB
Australian Citizenship is required for this position
