Advisory Officer
- $81,617.00 per annum + 11.5% superannuation
- Full Time fixed term opportunity until 31/12/2025
- Wadawurrung Country / Geelong based role (hybrid model, work from home, 3 days a week in office)
About the role
An Advisory Officer provides operational support through a range of administration activities, specialist information to members of the public about their high-risk work licence, construction induction card and the digital licence portal while maintaining accurate and proficient data input. This position requires the ability to be flexible to move between various operational needs as required.
Key accountabilities
- Administer inbound and outbound calls in response to a range of requests including licensing enquiries from stakeholders and customers and input of data via CRM
- Provide administrative support to Advisory business unit including data processing and document management through CRM ensuring relevant policies and procedures are followed within agreed timeframes
- Manage diary for internal processes including liasing with team leaders and interested stakeholders
- Conduct audits and monitor CRM database to ensure quality of data content and identify trends to resolve issues or escalate matters of statistical significance
- Analyse and draft complex data activities of sensitive nature for the team leader to be used in Ministerial and Chief Executive office briefs
- Manage administrative functions as directed such as scanning, filling, incoming mail and emails while monitoring and reviewing incoming correspondence to identify sensitive, confidential and urgent correspondence

About you
You have a strong customer focus with demonstrated ability to interpret, communicate and provide advice on administrative policies and procedures.
Additionally, you will possess the following skills and experience:
- Ability to identify trends and anomalies, and resolve administrative issues
- Highly developed written and verbal communication and interpersonal skills
- Demonstrated ability to work as part of a team and autonomously with limited guidance to manage workload and meet tight timeframes
- Excellent time management, prioritisation and organisational skills as well as well-developed attention to detail
- Demonstrated initiative, tact and judgement in liaising with a diverse range of clients and stakeholders, specifically when dealing with escalations and complaints
- Highly developed experience in various computer programs with the ability to learn new systems in a timely manner
