We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the Director of our growing mortgage brokerage. This is a full-time, in-office position that plays a critical role in ensuring the smooth daily operation of the Director’s activities, efficient management of communications and schedule, and high-level coordination across internal and external stakeholders.

Key Responsibilities:

Email Management:
Monitor, prioritize, and respond to emails on behalf of the Director; flag key communications and ensure timely follow-ups.

Calendar Management:
Coordinate and maintain the Director’s daily and long-term schedule, organizing meetings, appointments, and reminders.

Travel Coordination:
Book flights, accommodation, and transportation for business travel, ensuring all arrangements are optimized for cost and convenience.

CRM-Based Reporting:
Prepare and distribute accurate monthly referral partner performance reports through the company’s CRM system.

Referral Program Administration:
Oversee the management of referral bonus schemes, including tracking activity, preparing reports, and ensuring timely payouts.

Referral Partner Engagement:
Conduct regular check-ins and follow-ups with referral partners to maintain strong working relationships and support ongoing business development.

General Administrative Support:
Provide high-level administrative support to the Director including document preparation, filing, data entry, internal communications, and other ad hoc tasks as required.

Qualifications & Experience:

Minimum 2–3 years’ experience in an Executive Assistant or similar administrative role (experience in finance, real estate, or mortgage industry is highly regarded).

Strong proficiency with Microsoft Office Suite, Google Workspace, and CRM platforms (experience with [Insert CRM name] is a plus).

Exceptional organizational and multitasking skills.

Excellent written and verbal communication.

Ability to handle sensitive information with discretion and professionalism.

Strong attention to detail and ability to work effectively under pressure in a fast-paced office environment.
