Reporting to the Service/Finance Manager, the role of Front Office Administrator/Receptionist is pivotal for the smooth front office operations and provides exceptional customer service.
Key responsibilities will include:
- Manage multiple phone lines, answering all incoming phone calls for the Service, Sales and Installation departments.
- Manage the business email inbox, postage and courier deliveries.
- Liaise with Customers and Technicians to schedule & distribute service work orders in a timely manner (using multiple systems).
- Prepare and issue annual inspection certificates.
- Data entry of accounts payable and receivable via MYOB.
- Prepare/deposit business banking.
- Invoicing for the Service Department.
- Provide administration support to the Sales, Service and Installation teams.
- Monitor and replenish office stationery/kitchen supplies.
To be successful in this role you will have proven experience and skills in:
- Office administration.
- Customer Service (service industries ideal).
- Managing multiple phone lines.
- Sound computer skills MS Word, Excel, Outlook and CRM's.
- General financial transaction processing experience (Accounts Payable & Accounts Receivable) in accounting software (MYOB preferred).
The ideal candidate has the ability to work autonomously and prioritise competing demands. They have proven experience in meeting time-critical deadlines and can manage multiple incoming calls whilst navigating several systems. They are confident, patient and have a friendly and pleasant phone manner.
