Are you passionate about supporting individuals with disabilities and have a knack for organisation? We are seeking a motivated and detail-oriented professional to join our team as a Rostering, Scheduling, and Office Admin specialist. This is an IMMEDIATE START position.
In this role, you will manage NDIS staff and participant rosters, handle scheduling for a 24/7 mental health facility, and provide essential administrative support to ensure smooth operations.
This part-time role offers flexibility, with the aim to transition to full-time base on your performance.

What You’ll Do:
Rostering & Scheduling:
Coordinate and manage staff rosters across multiple locations, including group homes and Devenish Lodge, ensuring all shifts are covered.
Work closely with House Leaders to help micro-schedule support services, ensuring that appointments and tasks are aligned with allocated support schedules.
Adjust staff schedules based on participant needs and staff availability, ensuring optimal coverage 24/7.
NDIS Compliance:
Enter participant/resident details accurately into our client management software (MYP)
Ensure rosters are compliant with NDIS pricing guidelines and funding allocations, making sure each support item is properly assigned.
Track funding utilisation, monitor plan expiries, and report any discrepancies or issues to management promptly.
Review claims for accuracy and resolve any issues to ensure smooth processing.
Administrative Support:
Perform general office administration tasks, such as managing emails, reports, and correspondence.
Help organise appointments and assist with daily operations as needed.
Handle inquiries and liaise with external support providers to ensure seamless coordination of services.
Ensure smooth communication and collaboration between house leaders, support staff, and external providers.
Team Collaboration:
Work closely with House Leaders to help relieve scheduling workload and optimise support coverage.
Be a proactive member of the team, supporting operational efficiencies and improving scheduling workflows.
What We’re Looking For:
Experience and Skills:
Knowledge of NDIS pricing guidelines, funding processes, and the ability to correctly allocate funding and line items within schedules.
Experience in disability support or a similar field, with a clear understanding of support worker roles and the disability sector.
Experience in managing rostering for multiple staff members and participants
Familiarity with MYP or similar NDIS/scheduling software, and a high level of computer literacy, including proficiency in Excel, email, PDF, and scheduling apps. Experience with MYP highly preferred.
Education or experience in HR.
Knowledge in staff awards and payroll, with the ability to liaise with the finance team
Communication & Organization:
Strong communication skills, both written and verbal, to interact effectively with staff, house leaders, and external providers.
Highly organised and detail-oriented, able to handle multiple tasks and prioritise effectively in a fast-paced environment.
Ability to work independently and manage time efficiently while collaborating with others.
Able to provide after hours support if required.
Able to handle phone calls and emails
Tech-Savvy & Adaptable:
Comfortable using a range of software applications and able to adapt to new technologies quickly.
Ability to resolve scheduling conflicts, adjust rosters on the fly, and handle administrative tasks with minimal supervision.

Flexible Hours: This part-time role starts with 2 weeks of training requiring approximately 5 hours a day, which transitions to regular 4-5 hour days for 5 days a week, with the opportunity to transition to full-time based on performance and availability.
