What can you expect?
We’re looking for a passionate and attentive Support and Engagement Manager to join the team and work directly with our participants. This pivotal role will oversee our support workers while ensuring participants in our Accessible Filmmaking Studies Program receive quality, personalised support.
You will have a strong background in disability support services, and NDIS knowledge would be desirable. You will be customer-focused with the ability to handle difficult conversations and resolve issues.
Key to this role is the ability to be flexible as the role is required to be on call Monday & Tuesday nights 5-9pm and infrequent weekend calls.
3 days per week (On call Monday & Tuesday nights). This role can be Sydney based (hybrid) or remote from Melbourne.
$90,000 pro rata 0.6 FTE ($54,000) + on-call allowance + superannuation
Leadership and Management
Prepare and onboard all new support workers including leading an Access training session at the start of each year for all tutors and support workers.
Manage the recruitment process of casual support workers and back up support workers
Manage, roster and develop the Support workers and Program Liaison Officer
Ensure all workshops are staffed appropriately with the required support workers and/or volunteers for compliance.
Sight, record and maintain appropriate documentation for Support Workers.
Maintain up-to-date knowledge on the NDIS and provide ongoing guidance to Bus Stop Films and its participants.
Identify any performance issues and escalate to the General Manager of Programs where appropriate
Hold performance reviews and end-of-term debriefs with support workers
Build partnerships with Local Providers and Area Coordinators across the country.
Recruit, onboard and maintain engagement with volunteers.
Create a strategic training and development plan for all support workers in conjunction with the General Manager of People and Culture to implement across the calendar year.
Identify Speaking Panel opportunities and be prepared to take on speaking opportunities on behalf of Bus Stop Films.
Participant Engagement
New and Existing participant onboarding into the ‘Accessible Filmmaking Studies Program’ including entry interviews and filing
Host NDIS support calls/sessions for participants and their carers via zoom or phone, on request
Provide support for Bus Stop Employment on selected Candidates
Provide on-set support work where possible
Attend classes when and if appropriate, subject to workload
Apply for funding and if funded, deliver Carer Day event/s for National Carers Week to engage our community
Host Volunteer open days and work with GM of Partnership, Fundraising and Events, along with our Program Delivery Managers to deliver these.
Complaint Management
Conduct participant consultations and mediations when required to address concerns, behaviours or incidents that arise in workshops or on set.
Respond to, and capture any feedback or concerns reported by participants or their carers.
Escalate and flag any concerns or issues with the General Manager of Programs.
Administration
Ensure that all participants' details are kept up to date in the app, portal and database.
Maintain a compliance register for all support workers and volunteers, ensuring all paperwork is filed and valid.
Review, filing and management of incident reports and excursion reports
Management of new enrolments and confirmation of participant enrolment.
Review attendance patterns and take action as needed for those who are not engaging.
Ensure all emergency information and medical information (Participant Profiles) are on file for all participants prior to program commencement.
Populate and maintain participant profiles on CRM/database.
Adhere to company filing structures and protocols.
Review excursion risk assessments alongside participant access needs, and sign them off.
Reporting
Provide term reporting to the General Manager of Programs on participants, workshop leaders, support workers, Program Liaison Officer, and volunteer progress, and flag any patterns or concerns
Review and sign off on escalated issues.
Ensure all appropriate documentation has been kept up to date.
Provide weekly reports to the General Manager of Programs on all incidents raised.
Inclusive Filmmaking
Work with the support workers to ensure they are prepared for managing participants on an inclusive film set
Provide feedback to Workshop leaders and Support Workers where improvements can be made to ensure participant inclusion and escalate to the COO and General Manager of Programs if required.
Ad hoc
Flexibility and adaptability. This may infrequently require different shift patterns (i.e. weekend work, after hours), or to perform reasonable tasks as directed by the General Manager of Programs, that may not be core to the role.
What are we looking for?
Disability Certificate, Social Work degree and/or Counseling degree with a minimum 5 years industry experience
Desirable: Experience working with NDIS Plans, Training in crisis management, Mental health training, Experience in education, membership, or volunteer management environments
Demonstrated strong customer service and stakeholder engagement skills in a participant-centric environment.
Able to have difficult conversations with stakeholders whilst maintaining professionalism, empathy and confidentiality.
Experience in managing employees and contractors remotely throughout all stages of the employee lifecycle, including recruitment, development, support, performance management, and offboarding.
Familiarity with general office procedures and filing systems, alongside proficient use of technology including Google Workspace, Zoom, Canva and CRM software.
Skill in discerning patterns and potential issues before they arise, and demonstrated success with implementing effective solutions.
Committed to maintaining high accuracy and attention to detail, ensuring precise record-keeping and minimal errors.
Proven ability to meet deadlines and work independently while achieving desired outcomes in a remote setting.
