This is an admin-heavy, support-focused role - ideal for someone adaptable, calm under pressure, and confident juggling multiple priorities. You’ll take ownership of clinic operations, act as the go-to problem-solver, and ensure communications, flow, and client experience stay smooth.

You’ll also step into a leadership support role (2IC) when management is off-site, helping to guide the team and keep everything running to plan.

About the Role

This is a full-time position split across our Annerley and Bald Hills clinics. We’re flexible depending on where you live and can adjust your primary location to suit.

Your responsibilities will include:

Clinic communications – phone, email, and welcoming clients at front of house

Daily operations – managing clinic flow and supporting team operations

Calendar management – optimising bookings and reducing downtime

Client retention – following up with lapsed clients and assisting team members with treatment plan bookings

Compliance support – assisting with documentation and clinic standards

Clinic presentation – maintaining a clean, professional environment

Leadership – taking initiative and confidently managing daily operations when management is off-site

Marketing & social media – providing basic support when needed

About You

You’re a detail-oriented organiser with a warm, professional presence and a genuine desire to help others. You’re just as comfortable behind the scenes keeping things running smoothly as you are stepping up to lead when needed.

You’ll need:

At least 12 months experience in a clinic coordinator or administrative role (ideally in skin, medical, or aesthetics)

Confidence using booking systems and managing a busy calendar

Strong communication skills and a calm, solutions-focused approach

A team player attitude and willingness to go the extra mile

Availability to work at both clinic locations (with flexibility depending on your home base)

Bonus points for:

A background in skin, beauty therapy, or healthcare

Knowledge of compliance in the medical aesthetics industry

An interest in skin health or social media

Available to work alternating Saturdays
