Join the dynamic team at Mansfield Motor Panel Repairs as a full-time Customer Operations Coordinator based in Mansfield, Victoria. In this pivotal role, you will be responsible for providing exceptional customer service and administrative support to our customers. With a focus on creating positive experiences, quality communications and high quality repairs you will be the key point of contact for our customers and play a vital part in the overall success of our organisation.
What you'll be doing
- Greeting customers and managing vehicle returns.
- Taking vehicle photos for quoting purposes.
- Assisting with quotes and creating estimates in iBodyshop (with the opportunity to develop your skills in this area).
- Answering and managing phone calls.
- Scheduling vehicle bookings.
- Ordering and managing parts.
- Weekly planning (in collaboration).
- Processing insurance payments.
- Invoicing.
- Maintaining accurate customer records.
- Providing exceptional customer service.
- Maintaining a clean and organised workspace.
- Liaising with local partner businesses.
- Banking.
- Developing Standard Operating Procedures (SOPs) for future team members.
- Streamlining and improving existing systems for online accessibility.
- Inputting and auditing parts in iBodyShop.
- Ordering office supplies.
- Assisting with supplier payments.
- Managing parts returns
- Liaising with assessors when required.
What we're looking for
- Demonstrable experience in a customer service or administrative role, ideally within the Automotive industry or a personal interest in and understanding of cars
- Excellent communication and interpersonal skills with the ability to build rapport and provide exceptional customer service
- Strong organisational skills and attention to detail to ensure accuracy and efficiency in your work
- Proficient in using various software applications, including Google suite
- Ability to work collaboratively as part of a team as well as independently to prioritise and manage your workload
- A passion for delivering a positive customer experience and contributing to the success of the business
- Ability to prioritise and work through the peaks and valleys of the weekly workflow
