Purpose of Position
The role of the Coordinator Security Operations and Administration is to provide coordination and administrative support for security operations along with project management support services to the Director Security & Marshal Team. The role has a considerable level of legal profession public contact in relation to difficult and/or sensitive issues and may liaise with a range of stakeholders in a liaison role.
Work may involve the setting priorities and managing workflows. The role will assist in the development of procedures and practices for the security of the courts, judges and other court personnel as well as for court premises. The role will assist the Director, Assistant Directors and Managers in the Marshal team in the coordination and oversight of the security, enforcement and contract management functions and their reporting.
The position will also assist the Enforcement Manager in the coordination of service and execution of all processes of the FCA and FCFCOA directed to the Sheriff and Marshal. The position will conduct analysis and assist in the design of arrangements for enforcement, including service.
In addition, the position performs Security, Sheriff and Marshal security and administrative support duties.
Some travel may be required.
This is a Designated Security Assessment Position (DSAP) with clearance access level of NV1.
Key Responsibilities and Duties
The occupant of this position Assists the Director and Assistant Directors of Security as follows:
- provide support services in the execution of all processes of the FCA and FCFCOA directed to the Sheriff and Marshal;
- assist with monitoring security contracts to ensure performance against service level agreements, adherence to policies and procedures and monitor results of security audits and reporting;
- develop and maintain effective working relationships with stakeholders including the judiciary, court users and partner law enforcement and security agencies;
- provides research assistance to the Marshal team;
- coordinate and manage all correspondence directed to the Marshal team;
- enter data into the relevant information management systems;
- assist with the preparation of security procedures and workflows;
- support judges and staff with home security arrangements including alarms and household hardening;
- liaise with a range of internal and external stakeholders including Judges, their chambers, Registrars and their support staff, managers, legal practitioners, community organisations and other service providers related to enforcement and court security;
- assists with the general operation of the Security branch;
- coordinates warrants including liaison with Solicitors and applicants;
- coordinates repairs and maintenance orders, ensuring correct practices are followed for approval processes;
- ensure processing and coding of invoices relating to the Marshal and security operations are completed in a timely manner.
Selection Criteria
- Ability to undertake research (including on-line research) and demonstrable strong written communication skills.
- Sound organisational skills including the ability to manage priorities, meet deadlines and work effectively under pressure in a busy team environment.
- Well-developed interpersonal skills including tact, discretion, initiative and the ability to communicate effectively with members of the judiciary, the legal profession, the public and other court staff.
- Ability to operate computer-based equipment and associated software and applications including the 365 suite of Microsoft products.
- Knowledge, or ability to acquire knowledge, of the functions, the organisation, practices, procedures and terminology of relevant Legislation, policy and procedures.
- Security and character clearance – the successful applicant must satisfy a Police Records Check, and achieve NV1 security clearance.
- A demonstrated ability to contribute to and support change in the workplace including a strong ability to identify opportunities for process improvement. In addition, quickly acquire a sound working knowledge of court procedures, guidelines and policies
Eligibility
Employment with the Court is subject to the conditions prescribed in the Public Service Act 1999, and the following:
- Australian citizenship – the successful applicant must hold Australian citizenship;
- Security and character clearance – the successful applicant must satisfy a Police Records Check, and may also be required to complete security clearances during the course of their employment;
- Successful applicants engaged into the APS will be subject to a probation period
