Job Opportunity: Casual Administrative Assistant

West Coast Brick and Stone is looking for a reliable and detail-oriented Administrative Assistant to join our team on a long-term, casual basis. This role is ideal for administrative professionals seeking stable, long-term casual work with flexibility for 15 to 25 hours per week.
About the Role:
We need a dedicated team member to assist with various administrative and financial tasks.
Key responsibilities include:
Bookkeeping Tasks:
-Preparing and submitting Business Activity Statements (BAS) and superannuation payments quarterly.
-Recording and issuing subcontractor payments weekly and processing weekly payroll via QuickBooks.
-Tracking project expenses and income using Excel and OneNote.
-Issuing invoices and tracking payments received.
-Paying supplier bills on a monthly basis.
Safety & Compliance Responsibilities:
-Reviewing and uploading Safe Work Method Statements (SWMS), Mobile Plant Risk Assessments, and Safety Data Sheets (SDS) onto Safety Management Systems (Lucidity etc).
-Managing and uploading subcontractor information (White Card, High Risk Driver’s License) into safety management systems like Lucidity.
-Assigning and tracking safety inductions for workers.
-Creating Toolbox Talks.
General Administrative Duties:
-Managing emails and correspondence.
-Issuing new subcontractor forms and keeping records up to date.
-Issuing warranties at the end of projects.
-Handling other general admin tasks as needed.
-Document and filing management
What We’re Looking For:
-Experience in administration, bookkeeping, or accounts is preferred, but we can train the right candidate.
-Familiarity with QuickBooks, Excel, OneNote, and safety management systems (e.g., Lucidity) is a plus, but training will be provided.
-Strong attention to detail and organisational skills.
-Ability to work independently and manage multiple tasks efficiently.
-A proactive attitude and willingness to learn.
-Commitment and willingness to work long-term on a casual basis for 15 to 25 hours per week.
