Who We Are

Xentronics is a Melbourne-based, award-winning product development firm creating game-changing electronics, software, and technology products for our clients.

We're a passionate team of hardware design, embedded systems, and software application specialists, bringing all the technical expertise, resources, and facilities to product development projects across a variety of industries.

Our culture is all about balanced decisions, collaborative practices, and exceeding our clients' expectations. We foster an environment where innovation meets practicality; we empower our team to take ownership, challenge ideas, and create compelling products that delight end users.

About The Role

As Project Manager, you will be responsible for leading, managing, and delivering projects.

Your role will involve a mix of technical collaboration, traditional project management,
and overall leadership. You'll coordinate cross-functional teams of engineers and
designers while maintaining clear communication channels with clients throughout the
product development lifecycle.

Utilising your technical background and project management expertise, you'll create
actionable project plans, manage resources effectively, maintain the project as it
evolves, and ensure on-time, on-budget delivery of high-quality products people love.

Key Responsibilities

Serve as the primary point of contact for projects, fostering positive stakeholder relationships throughout the project.

Develop and maintain project plans, including task breakdowns and schedules aligned with project scope.

Continuously track project deliverables, monitor and manage trends and performance against estimates, and implement corrective actions to meet or exceed client expectations.

Proactively solicit and address client feedback to maintain high satisfaction levels and ensure project success.

Provide continuous and regular updates to clients, team members, management, and all other project stakeholders to ensure full, continuous alignment on project statuses.

Manage multiple projects of various sizes, complexities, and points in their lifecycle - from initial feasibility/concept development, into detailed design and prototyping, through to production transfer.

Supporting new potential projects through technical consultations with clients, pre-project engineering tasks, and supporting sales teams with proposal drafting/planning.

Managing uncertainties during early stage projects, to ensure team members and clients are aligned on risk, priorities, and unknowns.

Day-to-Day Duties

Regular check-ins with team members to remove blockers, provide information, and ensure progress is continuously being met.

Reviewing and approving invoices, raising purchase orders and approving expenses for project costs.

Continuous and ongoing communication with clients, suppliers, and other external parties.

Collaborating with Head of Engineering on high-level technical decisions.

Facilitating workshops/collaboration sessions between clients and our engineering team directly.

Preparing agendas, running meetings, documenting notes and action items, and sharing with attendees.

Maintaining Jira boards, ensuring any action items discussed are translated into captured tickets.

Engage in technical discussions and build knowledge from team members to understand details on ongoing work when needed.

Qualifications & Experience

5+ Years working in product development (hardware, software, products).

3+ Years experience in Project Management roles/responsibilities

Experience in consulting environments, specifically client-facing roles.

Bachelors Degree in Engineering/Science (Systems, Electronics, Software, Product).

Proven experience or training/qualifications in agile, iterative, new product development.

Strong organisation, time management, administration, and customer service skills.

Outstanding communication and interpersonal skills to engage with diverse stakeholders, including clients, suppliers, contractors, and internal team members.

Business and commercial acumen to ensure a clear understanding of client needs, product outcomes, contract agreements, and our own business decisions as a consultancy.

Power-user of project management tools (Jira, Clickup, Monday, or Asana)
