About You
You are a highly organized, proactive go-getter who thrives in a fast-paced, creative environment. You’re always five steps ahead and have a knack for keeping projects running smoothly—ensuring no detail is overlooked. Project management, inbox zero, and ticking off checklists are your second nature.
We’re looking for a Project Assistant Extraordinaire to support our exciting projects in 2025. You’ll work closely with our Project Manager, contributing your organizational skills and efficiency to ensure every project runs seamlessly from ideation to completion. You’ll manage project administration and suppliers and keep everyone—internally and externally—on track throughout the entire process.
Key Attributes We’re Looking For:
Proactive, Not Reactive – You take initiative and stay ahead of the game, working through your checklist without needing constant direction.
Problem Solver – When the Project Manager isn’t available, you can think on your feet to find solutions and keep things moving forward.
Multi-tasker – You’ll be juggling multiple projects, sending emails, making calls (and you’re not afraid of picking up the phone), and keeping everything organized.
IT Skills – You’re comfortable using software tools like Monday.com, Outlook, Proposify, Xero, and more. You’ll keep projects updated and ensure everything is running smoothly in our systems.
Tenacious – You’ll manage suppliers and vendors, ensuring they meet deadlines and deliver results for our clients.
Dependable – As a small team, we rely on you to stay two steps ahead, be contactable during business hours, and assist the Project Managers whenever needed.
What We Offer:
A fun, fast-paced industry with a supportive, creative team who genuinely understand the challenges of the Project Assistant role.
Onsite training and office location with the Senior Project Managers.
Competitive casual pay (above industry award rates, depending on experience).
2-3 days of casual work per week during school hours (Monday to Friday). Some after-hours and weekend work may be required during peak periods.
Work-from-office position based in Sydney.
