We are seeking an experienced, enthusiastic, and organised Receptionist / Administrative Assistant to join our dynamic team. This is a key front-of-house role that requires exceptional communication skills, a warm and welcoming demeanour, and a genuine love for working with children and families. The successful candidate will provide high-level administrative support, manage class registrations and records, and be the first point of contact for students, parents, and visitors.
Hours of Work
• Monday, Tuesday, Thursday, and Friday: 8.45am – 5.15pm
• The first Saturday of each term (four per year): 8.45am – 12.45pm
Key Responsibilities
Front-of-house reception duties including greeting visitors, answering calls, and responding to enquiries.
Managing student enrolments, class registrations, attendance records, and fee inquiries.
Handling confidential student and family information with discretion and professionalism.
Managing digital filing systems, databases, spreadsheets, and student records.
Producing and formatting documents, newsletters, and announcements using Microsoft Office Suite and Google Workspace.
Supporting the production of marketing material (knowledge of Canva desirable but not essential).
Coordinating schedules and communicating class timetables, term dates, and event information.
Providing information to parents regarding class content, schedules, fees, and policies.
Assisting in resolving enquiries or concerns from families with empathy and professionalism.
Performing occasional physical tasks, including lifting office supplies.
Supporting theatre productions and school events with administrative tasks.
Ensuring the reception area and office environment are organised and presentable.
Contributing to a collaborative team culture, showing initiative and adaptability in a creative, fast-paced environment.
Skills and Attributes
Excellent written and verbal communication skills.
Strong organisational and multitasking abilities with high attention to detail.
Ability to prioritise tasks and meet deadlines efficiently.
Competence in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
Experience with database management and digital filing systems.
Initiative and ability to work independently as well as part of a small team.
Warm, friendly, and patient demeanour, particularly with children and their families.
Ability to manage high-pressure moments calmly and effectively.
Understanding of theatre and performing arts terminology is advantageous.
Demonstrated ability to handle complaints and concerns professionally.
A proactive and flexible attitude, with a strong customer service focus.
