The role involves providing comprehensive administrative and office support, ensuring smooth day-to-day operations. Key responsibilities include:
- Client Interaction: Greeting visitors and managing phone, voicemail, and email communications.
- Document and File Management: Organizing files, invoices, and receipts; editing and formatting documents; and maintaining accurate records.
- Calendar and Scheduling: Organizing calendars, scheduling meetings, and coordinating office events.
- Travel Coordination: Arranging travel and accommodation for staff and projects.
- Office Maintenance: Maintaining a clean and organized workspace, managing office supplies, and overseeing office equipment and facilities.
- Vendor and Asset Management: Coordinating with vendors for repairs and services, maintaining asset registers, and managing equipment bookings.
- Training and Appointments: Scheduling medical assessments, training courses, and other related appointments.
- Mail and Courier Services: Handling incoming and outgoing mail and courier coordination.
- General Support: Assisting with other administrative tasks as needed.
This role requires excellent organizational and multitasking skills, a proactive approach to problem-solving, and a commitment to maintaining a professional and efficient office environment. Previous administrative experience is required. This position also requires you to be in the office 5 days a week in Brisbane CBD location. This position requires a work visa that allows you to work in a permanent full time position with unrestrictive work rights.
