We are seeking Administration Assistant to support the Grounds and Facilities Team in the management of maintenance systems, procurement, rostering, compliance, and project coordination. This role ensures the efficient operation of facilities through administrative support, record keeping, and coordination of trades and contractors.
Responsibilities of the role include:
Support the administration of the maintenance systems, including work order allocation, task tracking, reporting, Building Management System administration, coordination with staff and contractors, and standard works scheduling.
Procure goods and services for facilities maintenance, maintain accurate records, and monitor budgets and expenditure with the Business Manager.
Assist with rostering and coordinating casual staff, ensuring adequate staffing levels, and supporting the Facilities Manager with permanent staff organisation and coordination.
Provide administrative support for facilities projects, assist in property inspections and reporting, and coordinate with stakeholders to meet project timelines and deliverables.
Organise and schedule tradespeople for maintenance and repairs, ensuring compliance with site safety requirements and contractor documentation.
Assist with annual asset assessments, schedule and monitor preventative maintenance activities, and maintain up-to-date asset registers.
Maintain records and ensure compliance with legislative requirements, including WHS, fire safety, and building codes, while keeping documentation and reporting accurate and up to date.
Maintain all facilities and project records, facilitate access to information through the BMS, and manage the BMS to ensure data is up to date and accessible.
Provide assistance to the Facilities Manager and Business Manager, prepare reports and documentation, and support special projects and initiatives as directed.
The successful candidate will possess:
Strong administrative and organisational skills;
Ability to manage multiple tasks and meet deadlines;
Strong communication and interpersonal skills;
Knowledge of compliance and legislative requirements relevant to facilities management; and
Proficient in Microsoft Office Suite and facility management systems;
Previous experience in facilities, property, or maintenance administration;
Understanding of WHS and risk management processes; and
Experience working with contractors and trade personnel.
