About the Role:
Our clinical team is expanding, and we are looking for TWO experienced medical receptionists across two impactful roles: Veteran Administration Lead and Senior Medical Receptionist. The roles are similar, and we will be interviewing with both roles in mind and at the preference of the candidate.
Veteran Administration Lead
Maternity cover from June 2025 for 12 months, very likely opportunity for ongoing employment in a similar role from June 2026 (if desired)
Full-time Monday - Friday (38 hours) is preferred however for the right candidate, flexibility in hours may be negotiated (i.e. 9 day fortnight)
Key Responsibilities as the Veteran Administration Lead:
The Veteran Administration Lead is similar to a lead receptionist role, being essential to the smooth running of practice operations, however specific to Veteran and First Responder populations
Be the first point of contact for Veteran and First Responder patients, health professionals, advocates, lawyers and Department of Veterans’ Affairs (DVA) delegates
Manage and monitor the workflows from intake to discharge of Veteran and First Responder patients, including booking appointments, sending intake assessments, and collating relevant information for the clinician/s (psychiatrists, psychologists, mental health general practitioners and any other)
Develop systems for automation & digitisation of workflows, using our person-centred collaborative platform
Assistance from a full-time Junior Medical Receptionist, with responsibility to lead and supervise them in front desk administration tasks
Training and a handover period of 6 weeks will be provided by the current Veteran Administration Lead.
Senior Medical Receptionist
Permanent position, at least three days per week across Monday - Friday
Key Responsibilities as the Senior Medical Receptionist:
Demonstrate a consistent person-centred approach and greet all visitors in a friendly and professional manner
Schedule appointments accurately for all clinical providers, including psychiatrists, psychologists and mental health general practitioners, and process billing (under various Medicare or insurance schemes)
Be the first point of contact if an enquiry requires escalation, supported by the Team Leaders and Operations Manager
Work together with management to evaluate processes, streamline repetitive tasks, enhance efficiency and elevate service quality
Be a power-user of our person-centred collaborative platform
Key Skills (for both roles):
Previous experience in medical reception/ administration (essential)
High level of computer literacy and technical competence in learning new systems (essential)
Knowledge of Veteran agencies, terminology and processes (desirable for the Veteran Administration Lead role)
Previous experience with Best Practice (desirable)
Confidence with EFTPOS terminals, billing, and Medicare rebates
Excellent attention to detail for accuracy in record keeping and maintaining confidentiality of client records
Exceptional time management, multi-tasking, and organisational skills.
