ABOUT THE ROLE

Due to business growth, we are expanding our small team, seeking an Operations Coordinator for 2-3 days per week for 6 months.

The Operations Coordinator will play a pivotal role in the day-to-day operations of our business, ensuring that the organisation runs smoothly and efficiently, overseeing business operations, setting up, reviewing and improving internal processes, and ensuring compliance with industry standards and regulations.

This position requires a proactive individual with strong organisational and communication skills, and an understanding of the NDIS framework, and operational requirements in the disability services sector.

TASKS AND RESPONSIBILITIES

Key Responsibilities include:

Set Up Systems and Procedures:

Design, implement, and refine operational systems and processes to ensure efficiency, consistency, and compliance with NDIS standards.

Develop and document standard operating procedures (SOPs) for all core business functions, including client intake, service delivery, team coordination, and reporting.

Identify gaps in current processes and propose innovative solutions to improve workflow and operational performance.

Ensure systems are user-friendly, scalable, and adaptable to future business growth.

Operational Oversight:

Manage and oversee daily operational functions of the business, ensuring services are delivered effectively, efficiently, in line with NDIS guidelines.

Identify opportunities for process improvements and implement best practice to ensure consistent, high-quality service delivery.

Compliance and Quality Assurance:

Ensure all operations comply with NDIS standards, legislative requirements, and best practice guidelines.

Monitor and track key performance indicators (KPIs) to ensure service quality and client satisfaction.

Ensure documentation and reporting in line with NDIS requirements.

Preparation for, and management of QA audits.

Client Relationship Management:

Liaise with clients, families, and external stakeholders to ensure services are tailored to individual needs and expectations.

Ensure timely response to new and client enquiries, with resolution of client concerns, and provision of feedback for continuous improvement.

Financial and Resource Management:

Assist with recruitment process and onboarding of sub-contractors.

Ensure compliance, servicing standards, and contract reviews and updates are completed.

Manage resources and capacity to grow client base.

Manage budgets and ensure the efficient allocation of resources to achieve operational objectives.

Oversee invoicing and billing processes to ensure compliance with NDIS funding guidelines.

Work with payroll, IT and external consultants.

Reporting and Communication:

Prepare monthly operational reports to the Director on business performance, operational challenges, and areas for improvement.

Plan and co-ordinate monthly team meetings.

Maintain open and clear communication with all team members and stakeholders.

Key Requirements:

Proven experience in an Operations Coordinator or similar role, ideally within the NDIS or disability services sector.

Strong understanding of the NDIS framework, legislation, and compliance requirements.

Demonstrated ability to achieve quick and effective results

Proven ability to develop processes to manage resources efficiently.

Excellent communication, problem-solving, and interpersonal skills.

Highly organised with strong attention to detail and ability to multitask.

Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint) and experience with NDIS, CRM and related software systems.

A degree or relevant qualifications in management, disability services, or a related field is preferred.

Commitment to supporting individuals with disabilities and providing high-quality care.

Must have

Base in Melbourne

Experience in similar role working with people with disability

National Police check

Current driver’s licence and insured vehicle
