What you'll do
- Manage all administrative functions for the Chief Legal Counsel, including the monitoring and distribution of notices, memos and other documentation received by the Chief Legal Counsel, enquiry screening, diary management, preparation of high-quality meeting notes/minutes, and high-quality records management in line with legislative requirements.
- Coordinate and prioritise incoming meeting requests, critically evaluate background information required prior to the meeting, and ensure timely provision of all necessary documentation and information to support the Chief Legal Counsel in preparation for meetings.
- Develop and evaluate work systems, procedures and guidelines to ensure effective performance and outcomes for the Legal Branch.
- Prioritise and resolve problems arising from conflicting requests, and using discretion and within defined boundaries, autonomously redirect and respond to matters on behalf of the Chief Legal Counsel.
About you
We are searching for someone who:
- Demonstrates ability to support the administrative functioning of a senior executive or senior executive
- Has high level interpersonal skills, written and verbal communication; demonstrated ability to communicate effectively with sensitive issues, with officers at all levels with integrity, tact, ethical conduct, and confidentiality.
- Demonstrates proficiency in delivering administrative support skills in a dynamic, high pressured environment including the ability to quickly prioritise and the flexibility to adapt to changing demands in a politically sensitive environment in order to achieve effective results in tight deadlines.
- Demonstrates ability to analyse issues, develop collaborative solutions and adopt a proactive approach, with minimal direction, whilst delivering high quality work.
- Has well-developed skills in the use of email, electronic diaries and Microsoft Office applications including Word, Excel and PowerPoint.
