About Us
Our Colorectal and Endoscopy practice is looking for a compassionate, detail-oriented, and experienced medical secretary to join our team. We pride ourselves on delivering a supportive and empathetic patient journey, ensuring our patients are cared for with the utmost professionalism and attention. Our team of four works closely together, and this role will provide administrative support to our Surgeons, working directly with the Practice Coordinator to manage a busy schedule.
About You
As a Medical Secretary, you will have experience in a similar role and possess a warm, empathetic nature, capable of providing excellent customer service. Your ability to anticipate needs and streamline systems will assist in ensuring that our practice runs smoothly, and our patients receive the best care possible.
We are seeking a mature-minded, self-motivated, and task-oriented individual who thrives in a busy environment. The ideal candidate will possess:
- Empathy & Strong Patient Focus: You are committed to supporting patients with care and compassion, ensuring they feel heard and valued throughout their journey.
- Excellent Communication Skills: You will be the face of our practice, interacting with patients and healthcare professionals both in person and via phone, maintaining professionalism and warmth in every interaction.
- Attention to Detail & Organisational Skills: You will pride yourself on your ability to manage multiple tasks simultaneously, ensuring accuracy and efficiency in everything you do.
- Team Player with Independence: While you can work independently, you also enjoy being part of a small, cohesive team and contributing to the overall success of the practice.
- IT Proficiency: You are comfortable using medical software (such as Gentu, or similar) and have great troubleshooting skills. Experience with theatre bookings, surgical billing, and quoting (preferably with Eclipse) is an advantage, though training can be provided for the right candidate.
Key Responsibilities:
- Setting up and managing the consulting rooms and sessions, ensuring a welcoming environment for patients
- Answering phone calls and managing patient inquiries in an efficient, friendly, and courteous manner
- Scheduling appointments and managing the practice’s calendar
- Uploading referrals, taking payments, and assisting with reception duties along with scanning, filing, and other general administrative duties
- Assisting with theatre bookings, theatre billing, and payment processing (training provided)
- Providing general administrative support to the Surgeons and Practice Coordinator including ad-hoc duties.
- Maintaining the privacy and confidentiality of medical files and office records at all times

Days: 3 to 4 days per week (Flexible)
Hours 9:00am till 5:00pm (Flexible start and finish times – negotiable)
