Bella Vie Interiors is an award-winning boutique interior design studio specialising in high-end residential projects across Brisbane and beyond. We're seeking an experienced and proactive Personal Assistant with bookkeeping experience to join our close-knit team and support the day-to-day operations of our growing studio.

The Role
You will play a key role in supporting the Principal Designer and the studio team by managing administrative tasks, assisting with client project coordination, and overseeing key financial processes.
Key Responsibilities include:
- Managing inbox and calendar
- Booking appointments, travel, and meetings
- Preparing client documents and reports
- Handling light office management tasks (ordering supplies, setting up meeting spaces, etc.)
- Assisting with team and client event planning
- Xero bookkeeping: raising and processing purchase orders, entering and reconciling bills, invoicing clients, and tracking payments
- Tracking orders and deliveries, ensuring all furnishings and materials arrive on time for project installations
- Scheduling installations and liaising with transport companies and logistics teams
- Coordinating with suppliers, trades, and vendors for quotes, orders, lead times and updates
- Assisting with project worksheets, tracking timelines and budgets

What We’re Looking For
- Proven experience as a PA, EA, studio administrator, or similar support role minimum 2 years experience in a similar role
- Bookkeeping experience and solid understanding of Xero
- Exceptional organisational and time management abilities, with the capacity to prioritise and multitask
- Meticulous attention to detail and a commitment to accuracy
- Tech-savvy and confident using cloud-based tools (Xero, Asana, Microsoft Office, Dropbox, etc.)
- Valid driver's licence and own car for occasional supplier visits or studio errands
- A calm, capable, and professional demeanour—you get things done efficiently and without fuss
- Excellent communication and interpersonal skills, with the ability to liaise effectively with both internal and external stakeholders
- A proactive, flexible and adaptable approach to work
