Purpose of Position

The Accounting/Administration Support Officer supports the daily financial and administrative functions of Life International Training Pty Ltd. The role ensures timely, accurate data entry and financial processing, contributing to effective reporting and operational efficiency.

This is a part time position initially with the option for Full Time in the future.

Position Objectives
  • Support the General Manager and Directors by entering accurate financial data into Xero in a timely manner.
  • Contribute to achieving Life International Training's strategic and operational objectives.
  • Provide high-quality administrative support across a range of business functions.

Reporting Relationships

This position reports directly to the General Manager of Life International Training Pty Ltd.

Duties/Responsibilities
  • Answer incoming calls and direct them to appropriate staff members.
  • Collect, process, and distribute incoming and outgoing mail.
  • Accurately enter receipts, supplier invoices, and customer payments into Xero; follow up on any missing items.
  • Reconcile accounts.
  • Prepare and reconcile weekly payroll, including staff entitlements via Xero.
  • Prepare and submit weekly factoring reports.
  • Support the Company Secretary with maintaining the budget spreadsheet.
  • Manage bookings and staff calendar entries.
  • Enter training details into Dita and issue registration links to clients.
  • Compile and organise resources for paper-based training (e.g., laminating, scanning, printing, collating materials).
  • Schedule and follow up on course recertifications.
  • Coordinate public training courses.
  • Generate training and financial reports upon request.
  • Manage stock orders, deliveries, inventory levels, and data entry into Xero.
  • Order and maintain stationery and first aid supplies.
  • Organise deliveries using cost-effective freight options (e.g., Australia Post, Aramex).
  • Enter and update First Aid product orders in Xero with current pricing and descriptions.
  • Review and update Life International Training pricing in accordance with the annual audit schedule.
  • Coordinate first aid kit restocking for client sites as required.
  • Pick, pack, and dispatch First Aid resources and supplies for clients and trainers.
  • Greet visitors and arrange refreshments as needed.
  • Attend meetings, take accurate notes, and prepare minutes when required.
  • Perform other duties as directed from time to time.

Education and/or Experience

Formal qualifications in Business, Accounting or Management are strongly recommended. Experience in financial management or accounting, preferably within a training, education, or RTO environment.

Language Skills

Ability to read, develop, analyse, and interpret complex documents.

Reasoning Ability

Proven ability to use logical thinking to solve diverse intellectual and practical problems, interpret nonverbal symbols (e.g., formulas, equations, graphs), and manage both abstract and concrete variables effectively.

Essential Criteria

  • Understanding of Australian financial regulations, tax laws, and payroll requirements.
  • Knowledge of ASQA requirements and financial compliance specific to Registered Training Organisations (RTOs).
  • Proficiency in accounting software (e.g., MYOB, Xero, or similar) and Microsoft Excel skills for financial analysis and reporting.
  • Familiarity with budgeting, forecasting, and financial analysis tools.
  • Excellent Communication and Interpersonal Skills
  • High standard of professionalism, confidentiality, and ethical conduct.
  • Exceptional organisational skills with the ability to manage multiple tasks, meet deadlines, and prioritise work in a fast-paced environment.
  • Flexibility to adapt to changing financial regulations, industry standards, client needs and company needs.
  • Ability to communicate ideas clearly and effectively, both verbally and in writing.
  • High attention to detail.
  • Excellent Analytical and Problem-Solving Skills
  • Effective communication with diverse stakeholders.
  • Proven ability to engage with a wide range of people.
  • Current Queensland Driver's License.
