As a Bid Coordinator, you will be responsible for managing and coordinating the preparation of bids and proposals for a variety of projects. You will collaborate with cross-functional teams to ensure that all bid documents are completed on time, meet client specifications, and align with company standards. This role requires strong attention to detail, excellent communication skills, and the ability to manage multiple tasks and deadlines effectively.

Key Responsibilities:
  • Coordinate the entire bid process, from receiving Requests for Proposals (RFPs) to submission.
  • Work closely with internal departments such as sales, technical, legal, and finance to gather necessary information and ensure the bid is compliant with all requirements.
  • Develop and organise bid documents, including writing content, formatting proposals, and managing all submission materials.
  • Ensure bids are completed and submitted on time and in accordance with all client and company guidelines.
  • Assist in the preparation of cost estimates and pricing information for bid submissions.
  • Maintain a library of bid documents, templates, and past proposals for reference and efficiency.
  • Track and report on the status of ongoing bids and provide regular updates to the team.
  • Participate in post-bid reviews and assist in the implementation of feedback for continuous improvement.
Requirements:
  • Bachelor's degree in Business, Engineering, Construction Management, or a related field.
  • Minimum of 2 years of experience in bid coordination or a related role in the construction or infrastructure industry.
  • Strong project management skills with the ability to manage multiple bids simultaneously.
  • Excellent written and verbal communication skills.
  • High attention to detail and strong organizational skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with project management tools and bid management software is a plus.
  • Ability to work under pressure and meet tight deadlines.
  • Strong interpersonal skills and the ability to collaborate effectively with internal teams and external clients.
