We are seeking a motivated Office Administrators to become a vital part of our clients dynamic team. This role is perfect for someone with transferable skills who is ready to make an impact in a fast-paced environment.


Key Responsibilities:

Administration and Client Services

  • Enter accurate data including volumes and dollar amounts into the WTS to form basis of the Clients reports.
  • Process and maintain a register of rebates and free services supplied by subcontractors when required.
  • Ensure all services in the WTS are invoiced and up to date where possible. Generate accurate and timely client invoices and reports on a monthly basis where required.
  • Liaise with clients to clarify invoice queries where required.
  • Liaise with subcontractors regarding any credit requests to ensure approval before issuing the credit request and to ensure correction for future invoices.
  • Maintain any special consulting charges and predictive billing services for clients as required.
  • Ensure the correct information is maintained in the WTS at all times.
  • Update WTS with correction information and changes and maintain other reference databases with respect to a particular Client's needs where required. (Includes Excel spreadsheets, IMS Website and Access databases.)
  • Provide the Project Manager with accurate and current information regarding outstanding rebates, invoices and consistently incorrect subcontractor invoices on a monthly basis.
  • Ensure any pricing related inquiries are referred to the Project Manager.

About you:

  • Intermediate proficiency in Excel, and experience with MS Office or Google Suite.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills with the ability to multitask.
  • High attention to detail.
  • A proactive attitude and willingness to learn.
  • Experience in investigation and root cause analysis.
  • Comfortable having conversations with internal and external stakeholders regarding resolve of outstanding or open transactions i.e. outstanding payment, further documents required, amended purchase orders etc

As the location of our client is not public transport friendly, applicants must have their own car and drivers license.
