Key Responsibilities

As the Therapy Booking Coordinator, you will manage clinician schedules, optimise bookings, and ensure efficient service delivery. This role involves handling high-volume appointment coordination while minimising scheduling gaps and maximising efficiency.

Your responsibilities will include:

  • Scheduling and coordinating clinician appointments to ensure full utilisation.
  • Managing high-volume booking requests and minimising gaps in schedules.
  • Making outbound cold calls to potential and previous clients to generate bookings.
  • Handling incoming enquiries and providing clear and professional communication.
  • Working within a KPI-driven environment, meeting targets for booking efficiency and client engagement.
  • Assisting with NDIS service agreements and quotes.
  • Supporting the administration team with operational and client service tasks.

Who We Are Looking For

The ideal candidate will have:

  • Recent proven experience in administration, scheduling, or client services within a structured, high-volume environment.
  • Confidence in making outbound calls to secure appointments and build client relationships.
  • Ability to manage large-scale appointment coordination, ensuring schedules remain optimised.
  • Demonstrated ability to meet performance-based KPIs, particularly for booking efficiency and client engagement.
  • Strong organisational and problem-solving skills, with the ability to handle multiple tasks effectively.
  • Experience working in a process-driven, high-pressure office environment requiring efficiency and attention to detail.
  • Excellent communication skills, with the ability to engage professionally with clients and colleagues.
  • Accuracy in scheduling and documentation to ensure seamless service delivery.
  • A strong work ethic, with the ability to take feedback constructively, work independently, and perform under pressure.
  • Familiarity with Microsoft Office (Excel, Teams), Splose (preferred but not essential).
