About Us:

BYD Automotive is a global leader in electric vehicles and sustainable transport solutions. As we continue to grow in the Australian market, we are seeking a detail-oriented and proactive Admin/Payables Officer to join our dynamic team. This role is crucial in ensuring smooth financial operations, with a strong focus on customer refunds, trade payouts, and invoice ledger allocations.

The Role

As an Admin/Payables Officer, you will play a key role in managing financial transactions related to customer refunds and trade payouts. You will be responsible for ensuring accurate processing, reconciliation, and allocation of invoices while maintaining compliance with company policies. Your ability to work efficiently, resolve discrepancies, and communicate effectively with internal and external stakeholders will contribute to the smooth operation of the finance department. This position requires strong organisational skills, attention to detail, and a proactive approach to problem-solving.

Key Responsibilities

• Process customer refunds and trade payouts efficiently, ensuring accuracy and compliance with company policies.
• Verify and reconcile refund requests, ensuring proper documentation and authorisation.
• Prepare and process trade payouts, coordinating with dealerships and relevant stakeholders.
• Maintain financial records and reconcile payments against purchase agreements and statements.
• Handle invoice ledger allocations, ensuring all transactions are recorded accurately and in a timely manner.
• Assist in month-end financial closing activities related to payables, refunds, and ledger reconciliation.
• Handle general administrative duties such as filing, data entry, and document management.
• Liaise with internal departments and external vendors to resolve discrepancies and payment queries.
• Support the finance team with additional tasks as required.

What We’re Looking For:

To be successful in this role, you should have:

📌 Prior experience in accounts payable, finance, or administration, with a focus on refunds, trade payouts, and ledger allocations (automotive industry experience is a plus).
🔍 Strong attention to detail and high level of accuracy in processing financial transactions.
💻 Proficiency in Microsoft Office Suite, particularly Excel.
📖 Experience with dealership accounting software (e.g., Pentana's ERA DMS) is desirable.
🗣️ Excellent communication and interpersonal skills.
🎯 Strong problem-solving skills and a proactive approach to work.
